Office Support Specialist (Administrative)
This role plays a pivotal role on our property management team, you will ensure the seamless day-to-day operations of our commercial property portfolio. This role is designed for a service-oriented professional who excels in "white glove" delivery, acting as the primary conduit between our tenants, vendors and internal teams. You will be responsible for maintaining the highest standards, facilitating smooth tenant transitions, and providing proactive solutions to operations challenges.
Responsibilities- Tenant Relations:
Act as the primary point of contact for all tenant inquiries, providing immediate and professional "white glove" service via phone and/or email. - Operations Transitions:
Coordinate move-ins and move-outs, ensuring all administrative requirements, insurance certificates and utility transfers are completed. - Vendor Coordination:
Manage relationships with external service providers, including scheduling maintenance and verifying work completion. - Administrative:
Maintain accurate and up-to-date lease files, reports and operation documentation. - Customer Support:
Proactively address tenant concerns and service requests and ensuring issues are resolved quickly. - Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, etc.).
- Strong organizational and multi-tasking skills.
- High attention to detail.
- Problem solving skills and be proactive with tasks and challenges.
- Identifying what needs to be done and doing it before being asked.
- Experience in commercial property management, facilities coordination or a related field is highly desirable.
