Position Summary
Dreamweaver Foundation is seeking an experienced and highly organized Event and Program Support Specialist to join our team. Reporting to the Executive Director, this role is a critical support position that helps ensure the smooth day-to-day operations of the organization while advancing Dreamweaver’s mission, vision, and continued growth.
The Event and Program Support Specialist provides comprehensive administrative support to the Executive Director and staff, including calendar management, correspondence, office organization, and database support. This position also plays a key role in event and volunteer coordination, constituent communication, and overall office management. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced nonprofit environment.
Key Responsibilities- Provide administrative support to the Executive Director and team members to ensure efficient office operations and successful program and event execution
- Assist with event and program coordination, including preparation, logistics, and follow-up
- Draft, proofread, and format correspondence and internal documents
- Answer phone calls, greet visitors, and manage incoming and outgoing correspondence
- Serve as a professional point of contact for constituents, partners, and staff
- Manage calendars, schedule meetings, and coordinate appointments
- Organize and maintain electronic and physical filing systems
- Assist with reports, presentations, and database/CRM data entry
- Oversee office organization, inventory, and supply ordering
- Bachelor’s degree or equivalent relevant experience
- Prior experience working in a nonprofit organization strongly preferred
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities with attention to detail
- Ability to manage multiple priorities and meet deadlines
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience using CRM or fundraising software preferred
- Strong problem-solving skills and ability to maintain confidentiality
- Experience supporting nonprofit fundraising events, including distinguished or ticketed events
- Familiarity with event logistics, donor-facing activities, and volunteer coordination
- Experience with social media management, including scheduling posts and supporting event promotion
- Working knowledge of Canva for creating or editing basic graphics and visual materials
Office-based role supporting multiple departments and team members. Occasional support for events or activities outside standard office hours may be required.
Hours & SalaryThis is a exempt position with an expectation of 40 hours per week, including occasional nights and weekends as needed. Salary range is $43,500 to $50,000, based on experience.
