Pay Range: $17.50 – $21.50 per hour
AboutThe Role
The Administrative Assistant serves as the first point of contact for visitors, guests, sisters, and employees. This role provides front desk support and assists the Administrative Services Manager, Office Coordinator, and other staff with a variety of administrative and office duties. The ideal candidate is professional, welcoming, organized, and service-oriented.
This position is essential and does not offer remote or telecommuting options.

Key Responsibilities- Welcome and assist visitors, sisters, and deliveries at the front desk
- Answer and route incoming phone calls or take messages
- Escort visitors and offer hospitality as appropriate
- Submit invoices for payment
- Distribute incoming mail and prepare outgoing mail and packages
- Maintain a clean and organized front office, meeting rooms, and work spaces
- Coordinate conference room schedules and support meetings (set‑up, refreshments, technology, and clean‑up)
- Prepare routine reports and documents
- Serve as point of contact for facilities staff and report maintenance needs
- Assist with special projects as assigned
- Prepare and route birthday and condolence cards
- Perform other administrative duties as needed
- Maintain a calm and professional demeanor in emergency situations
- Follow all safety procedures and report hazards or incidents promptly
- Demonstrate initiative and sound judgment
- Comply with employee handbook and organizational guidelines
- High School Diploma or GED
- Minimum of 1 year of receptionist or front office experience
- Strong organizational and time management skills
- Proficiency with Microsoft Office
- Excellent written and verbal communication skills
- Ability to build positive working relationships
- Professional demeanor and appearance
- Experience in a healthcare or religious organization
- Ability to remain composed in high‑pressure situations
- Strong problem‑solving and decision‑making skills
- Ability to work independently and collaboratively
- Willingness to understand and support the traditions and culture of the Sisters of Mercy and the Catholic Church
- Familiarity with Catholic Church structures and practices
This Role Requires The Ability To
