* Compensation will be commensurate with the level of the position, education, and experience.
*** JOB DESCRIPTION SUMMARY
** The Specialist provides clerical support for the department and assists with walk-in traffic. Processes incoming work orders; creating the tickets and maintaining the database. Generates weekly work schedules and manages department supply orders.
** ESSENTIAL POSITION FUNCTIONS:
*** Answers the department’s main phone line and dispatches staff to address issues as needed.
* Assists walk-in traffic.
* Processes incoming work orders: sets-up requests, enters necessary information into the system and maintains software database.
* Monitors vehicle requests: scheduling, securing a travel authorization number and providing confirmation to requestor.
* Generates and distributes weekly work schedule for the trades, maintenance, grounds and custodial staff.
* Processes fuel receipts.
* Maintains various lists for the department (phone extensions, employee, vehicle, etc.)
* Processes vehicle maintenance/repair sheets.
* Enters vehicle usage mileage forms and collaborates with the Business Office to process chargebacks. Provides necessary documentation for grant purposes.
* Performs a variety of clerical duties to include but not limited to: overseeing two-way radio communication with staff, typing, filing, ordering supplies, and drafting correspondence.
* Distributes petty cash and maintains appropriate records for the Business office.
* Coordinates with Facilities staff to schedule the emptying of dumpsters, ordering fuel, and address full shred bins.
* Serves as backup for the Facilities Management Associate as needed.
* Consistently and dependably attends work, activities, and functions as scheduled or assigned.

* KNOWLEDGE, SKILLS AND ABILITIES:
*** Knowledge of technical terminology utilized in a facilities organization.
* Knowledge of standard office procedures and equipment.
* Knowledge of College-supported software and computer systems. (MS Office, Colleague, etc.)
* Proficient keyboard typing skills.
* Skill in organization and prioritization.
* Excellent grammar, spelling, punctuation, and letter composition skills.
* Ability to communicate in a courteous and professional manner.
* Ability to pay close attention to detail.
* Ability to manage multiple tasks.
* Ability to maintain confidentiality.
* Ability to work with numbers related to statistics and data, including skill in 10-key calculation.
* Ability to move up to 10 lbs on occasion.
* Ability to effectively work and interact with various ethnicities and cultures.
** MINIMUM QUALIFICATIONS FOR
EDUCATION AND EXPERIENCE:
*** Associate’s degree.
* Two (2) years of full-time related work experience.
* Equivalent combination of education and related work experience will be considered.
* Valid driver’s license with insurability to operate College vehicles.
* Must pass background check.
