Office Administrator/ Coordinator, Admin Assistant
Position Summary
Primary responsibility for all aspects of office administration and claim intake for claims including Auto, General Liability, Workers' Compensation and Property. Tasks include triaging and sorting of mail, both physical and electronic, both incoming and outgoing, creating, printing and mailing of letters, organizing meetings, maintaining office supplies and equipment, and providing support to claims teams.
Responsibilities- Open, review, categorize and scan incoming mail, route to correct location.
- Post outgoing mail and outgoing Federal Express promptly.
- Assist with creation of letters and ensure timely routing.
- Import/export files as requested by Claims Department staff and external claims parties.
- Index incoming electronic correspondence and route to appropriate internal and external parties.
- Manage vendors and maintain record of service/maintenance.
- Coordinate with other Office Administrators/Departments.
- Ensure office/breakroom supplies remain stocked.
- Work closely with IT/AVP to maintain equipment and request service/new equipment as needed.
- Greet and assist visitors.
- Aid in organizing office events as requested.
- Take on additional tasks, including setting up incoming claims and responding to customer inquiries via phone and email.
- Help create and maintain job aids for all tasks completed by the Intake & Operations Specialist team.
- Engage and participate in the Arch Experience values and continuous improvement initiatives.
- Other administrative duties as assigned by Claims Operations Manager or Supervisor.
- 2 to 3 years of experience in Customer Service, Mail Handling, Office Administration or a combination thereof.
- Proficiency with MS Office (Word, Excel); experience with Image Right is a plus.
- Detail oriented.
- Superior customer service and communication skills.
- Excellent verbal and written communication skills.
- Strong interpersonal skills.
- Computer and keyboarding skills.
- Ability to work in multiple systems.
High School Graduate or equivalent; some college or insurance related experience preferred.
Additional RequirementsIf you are in your current position, you must have been there for a minimum of 6 months and meet performance expectations.
