Principal Duties and Responsibilities

The Institute for Priestly Formation is deeply rooted in the Catholic tradition. In collaboration with Catholic seminaries and dioceses, we form seminarians, priests, and bishops in holiness and accompany them in their ongoing spiritual growth, so they can more effectively lead others to Christ. The Program & Office Operations Coordinator assists with the day-to-day coordination of these programs and administration of our office and chapel.

There will be opportunities for growth and increased responsibility over time.

  • Coordinate logistics for programs, retreats, and events
  • Create registration forms and track enrollment, attendance, and participation
  • Prepare and distribute participant communications, schedules, reminders, and logistical information
  • Support scheduling of program sessions, meetings, and events
  • Prepare program packets, rosters, materials, and other logistical documents
  • Coordinate volunteers and assist with onsite program setup, support, and takedown
  • Assist with development of program materials and updates to website content
  • Coordinate marketing efforts including brochures, email campaigns, and social media
  • Edit and distribute audio/video recordings of program content
  • Assist with participant support and related administrative needs
  • Work with accounting to support invoicing, reimbursements, and related documentation
  • Prepare internal reports, calendars, and planning documents
  • Support special projects related to programs, office operations, and facilities
  • Provide backup support for donor acknowledgements and gift records
  • Maintain organized program photo archives
  • Serve as primary point of contact for phones, visitors, and incoming mail
  • Coordinate purchase of office, chapel/liturgical, and program supplies
  • Coordinate care of altar linens and vestments and communicate with sacristan regarding Mass schedules
  • Other duties as assigned
  • This is a full-time, on-site, non-exempt position with eligibility for the organization’s benefits package
Requirements

Knowledge, Skills, and Abilities

  • Strong organizational and administrative skills with excellent attention to detail
  • Ability to manage multiple priorities, deadlines, and projects simultaneously
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively in a mission-driven environment
  • Professional, welcoming, and service-oriented demeanor
  • Ability to maintain confidentiality and exercise discretion with sensitive information
  • Proficiency with Microsoft Office 365 and common office equipment
  • Ability to coordinate logistics and operational details effectively
  • Familiarity with databases, email communication tools, and social media platforms preferred
  • Ability to adapt to changing program and office needs
  • Ability to provide onsite support for events and programs, including setup and takedown activities
  • Willingness and ability to support a variety of organizational functions in a small office environment, including assisting across programs, administrative operations, events, fundraising, and other mission-related activities as needed
  • This is an on-site position requiring regular in-person collaboration and support

Education and Experience

  • Bachelor’s degree in Business Administration, Nonprofit Management, or a related field preferred
  • Relevant experience will be considered in lieu of a degree
  • Previous experience in program coordination, office administration, nonprofit operations, or related support roles preferred
  • Previous experience working within a Catholic mission-driven or faith-based nonprofit organization strongly preferred
  • A commitment to the mission and teachings of the Catholic Church is strongly preferred
