The Facilities Coordinator ensures the smooth operation and maintenance of the Food Bank for the Heartland’s facilities. This role leads unplanned and preventative maintenance, coordinates vendor activities, and collaborates with internal stakeholders to support the organization’s mission to eliminate hunger.
Responsibilities- Respond to unplanned maintenance and repairs, coordinating with internal stakeholders and external vendors.
- Assist the Facilities Administrator in developing and implementing a preventative maintenance schedule for building systems, equipment, fleet, and infrastructure.
- Champion safety by working with the Food Safety Committee, People Safety Committee, and Facilities to coordinate inspections, drills, and training.
- Act as the primary contact for facility‑related inquiries, keeping teams informed of updates and procedures.
- Assist event planning and equipment set‑up for various internal and external events.
- Manage janitorial services, including scheduling of periodic and deep cleaning, exterior cleaning, and waste management.
- Perform other duties within scope of practice.

- Proficiency in Microsoft Office and facilities work order/inspection software.
- Strong interpersonal and communication skills for collaboration with internal and external stakeholders.
- Organizational skills and ability to thrive in a fast‑paced, multi‑tasking environment.

- Credibility and partnership-building at all organizational levels.
- Physical ability to work in various environments, operate a scissor lift, lift up to 50 lb, and, preferably, drive a 16‑ft box truck.
- Minimum of 2 years of proven experience in facilities, maintenance, or a related area.
- Proficient in Microsoft Office Suite and field‑specific work order software.
- Lived experience with the impacts of systemic racism or marginalization is a plus.
- Experience operating a scissor lift is a plus.
