Job Details Description Overview
The Branch Office Clerk performs a combination of clerical and accounting duties including daily invoice reconciliation, scanning and research of invoices. Also, the Branch Clerk performs assigned customer service functions to ensure superior customer service to all external and internal customers.
Duties and Responsibilities- Responsible for daily reconciliation and cleanup of driver bag invoices
- Responsible for balancing and applying payment for driver bag invoices
- Research and resolve missing invoice report on daily basis for driver invoices
- Responsible for scanning of all daily invoices and credits
- Support and backup receptionist in regard to answering phones for breaks and lunch
- Perform other job-related duties as assigned
- High School diploma or equivalency; or an equivalent combination of education and experience
- Ability to use ten (10) key by touch
- Ability to work in a fast‑paced environment
- High degree of attention to detail and accuracy
- Good organizational skills
- Ability to work independently with minimal supervision
- Ability to use Word, Excel and SAP
- Interpersonal skills necessary to establish and maintain effective working relationships with coworkers, other business areas and government agencies as required
- Previous customer service experience
- Ability to read and interpret complex reports and documents and solve highly complex problems or issues from start to finish
- Demonstrated high level proficiency of oral and written communication skills
- Planning and organizational skills necessary to coordinate workload around multiple assignments
- Strong understanding of internet navigation
- Responsible for daily billing of orders for delivery including review and corrections of orders and edits
- Responsible for permit updates and state delinquent regulations for accounts regarding orders and billing
- Process orders; input data and assist with resolving order issues
- Enter all inventory adjustments accurately and timely
- Ensure invoices and pick sheets are generated for immediate bills and hot shot trucks per guidelines
- Set up and maintain customer account information (e.g., terms, state regulatory permit updates, etc.)
- Responsible for item maintenance for warehouse and management
- Support physical inventory as needed
- Responsible for month‑end processes and future orders
- Work with customers regarding order and delivery information
- Physical demands with activity or condition for a considerable amount of time include sitting and typing/keyboarding using a computer (e.g., keyboard, mouse, and monitor) or adding machine
- Physical demands with activity or condition may include occasional to rare amount of time include walking, bending, reaching, standing, and stooping
- May require occasional lifting/lowering, pushing, carrying, or pulling up to 25lbs
