Office Services Coordinator – Responsibilities
- Scan daily mail and documents for all departments, indexing them to the correct team members.
- Scan Property & Casualty mail into EPIC daily; maintain working knowledge of the EPIC system.
- Sort and route incoming mail to departments twice daily.
- Post outgoing mail and complete Fed Ex labels for all outgoing shipments.
- Send documents to corporate accounting and deposit checks for commissions and premiums across multiple departments.
- Answer and forward main line calls; operate the switchboard with extended coverage during vacations.
- Assist with annual department mailing needs.
- Provide backup support to the Copy Center, including completing rush print jobs as needed.
- Serve as backup for the front desk.
- Clean and stock the lounge at the end of each day.
- Additional duties as assigned.
- High school diploma or equivalent preferred.
- At least 2 years of experience in an administrative, office support or customer service role preferred.
- Equivalent combination of education and/or relevant work experience may be substituted.
- Proficiency with Microsoft Office Suite and basic design tools (e.g., Canva).
- Familiarity with social media platforms for business use.
- Strong organizational and attention to detail skills.
- Strong verbal and written communication skills.
- Excellent organizational skills and the ability to manage multiple priorities in a fast‑paced environment.
