Office Services Coordinator – Responsibilities

  • Scan daily mail and documents for all departments, indexing them to the correct team members.
  • Scan Property & Casualty mail into EPIC daily; maintain working knowledge of the EPIC system.
  • Sort and route incoming mail to departments twice daily.
  • Post outgoing mail and complete Fed Ex labels for all outgoing shipments.
  • Send documents to corporate accounting and deposit checks for commissions and premiums across multiple departments.
  • Answer and forward main line calls; operate the switchboard with extended coverage during vacations.
  • Assist with annual department mailing needs.
  • Provide backup support to the Copy Center, including completing rush print jobs as needed.
  • Serve as backup for the front desk.
  • Clean and stock the lounge at the end of each day.
  • Additional duties as assigned.
Qualifications
  • High school diploma or equivalent preferred.
  • At least 2 years of experience in an administrative, office support or customer service role preferred.
  • Equivalent combination of education and/or relevant work experience may be substituted.
  • Proficiency with Microsoft Office Suite and basic design tools (e.g., Canva).
  • Familiarity with social media platforms for business use.
  • Strong organizational and attention to detail skills.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and the ability to manage multiple priorities in a fast‑paced environment.
