Nature of Work

Skilled administrative and supervisory work in an administrative office of a City department. The employee supervises a group of staff handling complex administrative and clerical functions, makes independent decisions based on experience and policies, and receives general guidance from a supervisor.

Education and Experience

High school diploma or equivalent plus five (5) years of professional office experience, with at least two (2) years in a supervisory capacity. For the Planning Department – Permits and Inspections Division: two years of processing permit applications and reading plans is required and two years of experience using Accela or similar software is preferred. For the Omaha Public Library: a bachelor’s degree is preferred.

Pay

and Benefits
  • Pay range: $68,744.00 – $91,041.60 annually.
  • Forty‑hour work week.
  • Paid leave: 12 days vacation, 5 days management, 15 days sick, 15 holidays.

  • Prioritization of goals and assignments; completion of projects with minimal supervision.

  • Understanding of written or oral instructions.
  • Establishing and maintaining effective working relationships with employees, representatives, and the public.
  • Adherence to safety policies, procedures, and guidelines.
Responsibilities
  • Recommend hiring, discipline, or termination; train, schedule, assign, oversee, and evaluate administrative and clerical staff.
  • Oversee processing and approval of non‑Council‑approved financial documents (bids, contracts, requisitions, credit card statements, vouchers).
  • Monitor departmental projects, perform final close‑outs, and compile reports on start/completion dates, quantities, costs, labor, equipment, and cost figures.
  • Maintain personnel, inventory, payroll, receipts, cost, and work records.
  • Coordinate administrative activities to increase efficiency and reduce duplication.
  • Coordinate fiscal operations, compile budget requests, monitor expenditures, and prepare monthly fiscal reports.
  • Assist in maintaining departmental website.
  • Provide reports on division services as scheduled or needed.
  • Maintain regular job attendance per established schedule.
  • Perform other related duties as assigned.
  • If assigned to the Convention and Visitor's Bureau:
    • Build and maintain a digital library of location images.
    • Coordinate preparation of an events calendar and distribute updates.
    • Gather information for a Visitor's Guide, proofread, and coordinate mailings.
    • Maintain media list for advertising and publicity.
  • If assigned to the Planning Department – Permits and Inspections Division:
    • Review and issue building and construction permits, ensuring accuracy and adherence to standards and policies.
    • Provide technical information on issuance of permits.
    • Calculate and issue refunds for cancelled permits.
