Judicial Assistant – Supreme Court, Agency 5, Omaha, NE

Job Summary

Provides advanced judicial and/or administrative support to judges and judicial administrators under limited supervision, handling sensitive judicial and administrative matters, maintaining court calendars, preparing files for hearings, managing records, performing transcription, coordinating protective orders, and operating court recording systems.

Responsibilities
  • Coordinates the schedule of the judge with court administration, attorneys, prosecutor’s staff, law enforcement officials, and other parties involved in specific cases.
  • Ensures all relevant files and materials are available for cases, reviews documents, obtains proper signatures, and distributes documents to appropriate offices or persons.
  • Researches and compiles a variety of informational materials, contacts representatives of county departments, and obtains legal‑specific information to ensure appropriate documents are provided for judges’ signatures.
  • Summarizes information compiled and prepares periodic or specialized reports related to the court’s work.
  • Composes a variety of legal documents, correspondence, reports and forms from drafts, notes, dictated tapes or brief instructions, and composes standard correspondence and other materials independently. May take and transcribe dictation depending on the assigned judge.
  • Organizes and maintains various files, locates information for work of the department, tracks issuance of official documents, may purge files and/or prepare information for long‑term storage.
  • Prepares and coordinates protective orders, verifying information, preparing orders and affidavits for the judge.
  • Enters and retrieves data and prepares reports using an online or personal computer system; may operate and maintain database or other automated files and systems.
  • Performs other duties of a similar nature or level.
  • Requirements and Qualifications

    Minimum Qualifications: High school diploma or GED and 4 years of progressively responsible experience in legal or other administrative support work, or equivalent combination of education and experience sufficient to perform the essential duties of the job.

    Knowledge Requirements: Applicable federal, state, and local laws and regulations; office administrative and secretarial practices; legal terminology, procedures, and concepts; court policies and procedures; courtroom forms and documents; customer service principles; modern office principles and practices; filing systems; computers and related software applications.

    Skill Requirements: Maintaining records and files; assembling and organizing data and information; composing correspondence independently or from brief instructions; researching, compiling, and summarizing information; operating computers and applicable software applications; providing customer service; managing case files; processing information using established procedures; preparing reports and forms; using proper English, grammar, punctuation, and spelling; utilizing communication and interpersonal skills.

    Physical Requirements: Primarily sedentary; may require slight physical effort not to exceed 20 lbs.

    Salary and Benefits

    Salary range: $45,007.11 – $54,836.74 effective July 1st. After probation, permanent wage increases at least 2.5%. Pay may be commensurate with education and/or experience within fiscal constraints if approved.
