Work Schedule:
Some non-traditional hours may be required. In‑Office only.
This position is responsible for providing receptionist duties and clerical office support to district offices.
ResponsibilitiesThe incumbents will perform a variety of front desk and clerical responsibilities, including:
- Check‑in probationers, answer phone calls, and provide general office and program information.
- Contact probation officers and other staff for appointments, pre‑sentence interviews, and meetings.
- Open and close case intake files, maintain case documents such as violations, and prepare standard legal documents, letters, and correspondence from dictations.
- Track, compile, and maintain routine case information such as criminal history and driver’s license details.
- Process daily incoming and outgoing mail and answer calls providing general information.
- Provide guidance to entry secretarial staff as needed.
Education: High school diploma or GED.
Experience: Minimum 2 years of administrative support/clerical experience, or an equivalent combination of education and experience sufficient to perform the essential duties.
Knowledge: Customer service principles, modern office procedures and equipment, basic filing and record‑keeping, cash handling techniques, basic bookkeeping techniques.
Skills: Computer proficiency and related software applications, customer service, filing, keyboarding, use of modern office equipment, cash counting and balancing, effective communication and interpersonal skills.
Physical RequirementsPrimarily sedentary work. Occasional exertion up to 10 pounds may be required. Requirements include sitting most of the time with occasional walking and standing.
