Job Title: Secretary 4 – Accelere

Reports To: Building Principal

Work Schedule/FLSA Status: Full-time, 12 month / Non-Exempt

Salary

Schedule:

32E, $22.46 per hour based on Step 1 of the  Salary Schedule.

This is a negotiated position. Wages are administered consistent with the negotiated agreement.

Position

Purpose:

Performs a wide variety of duties, some of confidential nature. Performs general secretarial duties which may be required but not limited to answering phones, basic computer functions, typing, filing, copying, distributing mail, proofreading, etc. Provides support of student and staff records.

Essential Performance Responsibilities
  • Responds to walk‑in, telephone, doorbell, and intercom customer service needs in a timely, positive, and responsive way.
  • Maintains and coordinates the Principal’s calendar, including the scheduling and confirmation of appointments and meetings.
  • Maintains and submits all principal and staff mileage and submits cards for reimbursement.
  • Completes all student information and related documents to enroll, register, transfer, and withdraw students.
  • Works with Principal to monitor and/or maintain student reports and records including promotion/retention, credit reports, class rank, and student fines.
  • Updates all census data in district software, prepares and submits all census‑related reports and student‑data related reports according to schedule, when needed.
  • Responds to and processes attendance records and requests.
  • Maintains Student Information Packet (SIP) and Handbook cards.
  • Assists with fall orientation, open house, parent‑teacher conferences and other special events including set up and food ordering.
  • Processes all payroll, extra pay, and attendance records in the district software for all employees.
  • Monitors the substitute system daily and prepares for guest teachers (i.e., distributes folders, maintains reports, weekly traveling teachers, check‑in, and oversees class coverage).
  • Enters staff and building repair requisitions.
  • Prepares monthly budget updates for the principal.
  • Coordinates school supply orders and annual order requisitions, distributes orders and maintains inventory.
  • Opens, sorts, and distributes mail.
  • Organizes and maintains all building keys.
  • Uses mail merge function to create labels, certificates, mailings, and files regularly.
  • Maintains files as required including staff personnel files.
  • Creates programs, rosters, certificates and other word‑processing documents, as needed.
  • Works with office staff to distribute student, parent, and staff communications.
  • Completes copy requests for teachers and administrators as needed.
  • Serves as backup for other office staff, as needed.
Additional Duties

Performs other related tasks as assigned by the principal or other administrative staff as designated by the Superintendent.

Equipment

This position requires the ability to use basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with OPS’s guidelines for equipment use.

Travel

Limited travel may be required.

Physical and Mental Demands, Work Hazards
  • Works in standard office and school building environments.
  • Occasional overtime may be required by the supervisor.
  • Must have organization, time management, communication, and interpersonal skills.
  • Ability to read and use information from written materials and visual displays.
  • Ability to work in standing/walking positions on a frequent basis throughout the work shift.
  • Ability to bend, kneel, stoop, and maintain balance while performing job‑related tasks.
  • Ability to work outdoors during outdoor student activities.
  • Additional demands may be required upon request from the Supervisor.
Interrelations
  • Contact with personnel within the district and with customers and vendors.
  • Will be working under the direct supervision of the department supervisor in order to complete day‑to‑day tasks.
  • Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy.
