Position Summary

The Staff Assistant for the School of Music provides administrative support and assistance for the Director, faculty, staff and students of the School. Duties include but are not limited to understanding departmental, college and UNO policies and procedures as they pertain to this position. This includes managing/monitoring budgets; preparing and processing departmental documents (invoices and other transactions) in SAP and Ariba;

reconciling UNO procurement cards; processing part-time hiring including adjuncts and student workers; arranging travel through Concur (booking flights/hotels) for guests, candidates and students; entering course scheduling in CLSS and monitoring course schedules; distributing information to faculty/students/UNO constituencies; maintaining files; ordering supplies and other duties as assigned. This position has frequent interpersonal interactions with all levels of UNO administration, faculty, staff and students.

This position requires exceptional communication and organizational skills.

Job Duties
  • Provides administrative support and assistance for the School of Communication Director, faculty, staff and students. Includes understanding and adhering to departmental, school, college and UNO policies and procedures. (40%)
  • Manage and monitor budgets, prepare and process departmental invoices and other transactions in SAP and Ariba. Reconcile UNO procurement cards. Prepare end of month budget reviews for applicable cost centers ensuring stability and correct postings. (35%)
  • Process part-time hiring of adjuncts including credentialing; seasonal contracts and PAFs. Process student workers within the various areas of Music. (15%)
  • Arrange travel through Concur (booking flights/hotels) for guests, job candidates, and students. Process Visiting Personnel Forms for stipends; set up Vendors and RPFs as needed. (5%)
  • Enter course information via CLSS. Monitor enrollment as necessary for adding courses. (5%)
Required Qualifications
  • Education: High school diploma or equivalent.
  • Experience: At least five years of office experience with knowledge of Microsoft Office suite and other related software. Experience with budgets. Ability to take on a wide variety of projects; prioritize tasks; knowledge of UNO systems & processes; exceptional communication and organizational skills.
