Position: Office Associate I

Position Summary

Provide administrative and ancillary research support in the research section in the Department of Pathology, Microbiology, and Immunology. Contribute to the efficient operations within the business suite, and to the assistance of research faculty, administration, and other office associates and supporting staff. Support departmental research endeavors, including the coordination of laboratory ordering and billing; equipment inventory; lab relocations; common equipment use and maintenance;

decontamination and sterilization facility; and scientific alarm response (on-call duty).

  • Required

    Education:

    High School education or equivalent.
  • Required Experience: 4 years.
  • Required Computer Applications: Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Microsoft Outlook.
  • Required Knowledge, Skills, and Abilities:
    • Able to be on-call and carry a pager for freezer alarms.
    • Expert knowledge of office management principles as applied to effective organization of office and department operations, as well as ability to plan and organize the workflow in a busy office environment.
    • Excellent computer skills, including experience with word processing, database and spreadsheet software programs required.
    • Excellent customer service abilities, including the ability to communicate effectively both verbally and in writing, as well as to establish and maintain effective working relationships with coworkers, department administrative staff, interdepartmental contacts and the general public.
    • Ability to be self‑directed in accomplishing the coordination and decision‑making responsibilities of this position, and to be resourceful in problem solving and able to work with minimal supervision.
    • Ability to be organized and flexible in response to changing demands, handling a high volume of work under pressure.
    • Computer experience required.
  • Preferred Education: Business administration, scientific, or related field.
  • Preferred Experience: Administrative and/or research support experience in an academic, research and/or healthcare environment.
  • Preferred Computer Applications: SAP.
  • Preferred Other Computer Applications: Laboratory ordering systems; HR and business software such as Firefly, End Note, Adobe Pro, and Adobe Photoshop or similar graphics software.
  • Preferred Knowledge, Skills, and Abilities:
    • Knowledge of autoclave and sterilization procedures, as well as chemicals, including their use, interactions, danger signs, production techniques and disposal methods.
    • Skilled in the usage of mechanical equipment and ability to ensure routine maintenance and identify non‑functioning equipment.
    • Ability to understand and follow oral and written instructions.
    • Ability to effectively communicate with professors, staff, students, vendors and service repair people, providing excellence in customer service among a culturally diverse workforce.
    • Ability to handle sensitive information relating to personnel records, laboratory results, research materials, etc. and keep information confidential.
    • Skilled to work in demanding and stressful situations with complete accuracy, confidentiality, and dependability; must be able to meet deadlines on a regular basis; must present a positive and professional image at all times; and the ability to maintain confidentiality and discretion.
    • Experience in utilizing medical and scientific terminology.
