ALLO is seeking a seasoned and proactive Executive Assistant to provide high‑level support to senior leaders. This role requires an individual who can operate with a high degree of independence, keeping executives organized and prepared by managing complex schedules, overseeing intricate logistics, and ensuring flawless execution of administrative operations.

Responsibilities
  • Provide high‑level administrative support to senior leaders, ensuring disciplined organization and successful follow‑through of all action items.
  • Independently manage and prioritize high‑volume executive calendars, proactively mitigating scheduling conflicts and ensuring the best use of the executives' time.
  • Triage and organize email and Microsoft Teams communications to ensure a clear flow of information and timely responses to critical matters.
  • Prepare, format, and perform final reviews of presentations, agendas, and reports to ensure they are meeting‑ready and professional.
  • Lead the coordination, logistics, and material preparation for leadership and Board of Directors meetings.
  • Oversee the secure collation and distribution of highly confidential meeting materials.
  • Manage complex travel itineraries, including multi‑leg domestic and international travel, lodging, and ground transportation.
  • Coordinate private air travel, including precise management of schedules, manifests, and vendor relationships.
  • Manage the end‑to‑end expense reporting process, ensuring accuracy and strict compliance with company policies.
  • Own the planning and logistics for executive off‑sites, department events, and large‑scale team meetings.
  • Master the use of Microsoft 365 tools to optimize daily operations and administrative workflows.
  • Expertly leverage AI‑enabled tools to increase efficiency in administrative tasks, including complex scheduling and expense management.
  • Lead special projects and provide robust administrative support to ensure the executive office runs efficiently.
  • Act as a resource for the team in exploring and adopting AI tools that enhance overall administrative productivity.
Education

An equivalent combination of education and significant relevant work experience will be considered.

Experience

5+ years of experience in an executive support role, with a demonstrated history of supporting senior leadership in a fast‑paced environment.

Advanced proficiency in Microsoft 365 (Teams, Outlook, PowerPoint, Excel) with a proven ability to master new technology and workflows.

Extensive experience coordinating complex corporate travel arrangements and managing detailed executive expenses.

Highly resourceful and adaptable, with the ability to anticipate executive needs before they arise and implement solutions independently.

Outstanding interpersonal and written communication skills, with the ability to represent the executive office with confidence, polish, and a strong service‑oriented mindset.

Physical Requirements
  • Raise objects up to 25 lbs.
  • Remain upright on feet for extended periods.
  • Remain stationary for extended periods.
  • Ability to communicate information.
