Position: Administrative Assistant/Receptionist, Part Time 12-Month

Administrative Assistant/Receptionist, Part Time 12-Month - Westside District Office

24 hours per week

Department:
Secretarial/Clerical

Reports To:

Designated Supervisor

ESSENTIAL

QUALIFICATIONS:

  • High school diploma
  • Minimum 3 years experience working in a professional office setting.
  • Strong communication skills with experience in managing challenging phone calls
  • Strong computer skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Able to work as a team with students, families, staff, faculty and administrators.
  • Able to operate personal computer, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skill.
  • Highly motivated with strong organizational skills; able to manage multiple concurrent priorities.
  • Self-starter; able to work independently.
  • Strong communication skills; both written and oral.

PREFERRED QUALIFICATIONS:

  • Prior experience directly related to essential job functions listed below.

ESSENTIAL JOB FUNCTIONS:

  • Perform receptionist duties on a specified schedule.
  • Provide support to all building staff.
  • Answer District phone, transfer calls, take messages as appropriate, and respond to inquiries by staff, parents, or patrons of the district.
  • Respond to walk-ins by staff, parents, vendors or patrons of the District.
  • Understand the role and process of our Welcome Center.
  • Work positively and successfully in a team environment.
  • File and sort paperwork.
  • Type and/or draft letters of correspondence.
  • Schedule and organize meetings or events, including coordination and set-up of needed supplies.
  • Good attendance

    JOB FUNCTIONS:

  • Maintain confidentiality
  • Attend meetings and training as directed.
  • Present and communicate in a professional manner.
  • Other duties as assigned by supervisor.
  • Work Environment:

    • Typical office environment with usual office machines. Lifting of office supplies and other items on occasion (up to 25 lbs unassisted)
    • Required to consistently demonstrate adherence to all types of security requirements and accepted practices.
