Business Office Assistant – Long-Term Care
Adept of Omaha is seeking an organized, dependable, and professional Business Office Assistant to support the daily financial and administrative operations of our long-term care, skilled nursing, and memory care facility.
This position works closely with the Business Office Manager and interacts regularly with residents, families, vendors, and facility staff. The ideal candidate will have strong organizational and communication skills, maintain confidentiality, and remain calm while managing multiple priorities.
Primary ResponsibilitiesMaintain accurate business office and resident financial records.
Assist residents and families with the Medicaid eligibility and renewal process.
Document Medicaid follow-up and monitor applications through completion.
Process accounts payable and accounts receivable documents according to company procedures.
Coordinate financial documents needed for timely billing and collection of resident accounts.
Assist with billing, collections, deposits, and account withdrawals.
Administer and reconcile resident trust-fund accounts in accordance with applicable policies and procedures.
Assist with petty cash and resident banking transactions.
Support new admissions by completing paperwork, verifying demographic information, and providing financial information to residents or responsible parties.
Maintain organized paper and electronic resident records.
Respond professionally to telephone calls and in-person questions from residents, families, vendors, and staff.
Protect residents’ privacy, dignity, and confidential information.
Report resident or family concerns to the appropriate department leader.
Attend required department meetings and in-service training.
Provide additional administrative support to the Business Office Manager as needed.
High school diploma or equivalent.
Proficiency with computers and standard office equipment.
Strong written and verbal communication skills.
Ability to organize, prioritize, and manage multiple tasks in a fast-paced healthcare environment.
Ability to maintain confidentiality concerning resident, employee, and company information.
Ability to work professionally and cooperatively with residents, families, coworkers, vendors, and leadership.
Ability to remain calm and professional under pressure.
Associate degree in accounting, business, finance, or a related field.
At least one year of experience working with Medicaid applications, eligibility, or renewals.
Previous business office, billing, accounts receivable, or long-term care experience.
Experience working in a skilled nursing, long-term care, assisted living, or memory care setting.
Non-exempt position.
Reports to the Business Office Manager.
No supervisory responsibilities.
Work is performed on-site in a healthcare facility.
Some walking, reaching, bending, filing, and lifting up to 15 pounds may be required.
Occasional evening, weekend, holiday, inclement-weather, or local travel responsibilities may be required based on facility needs.
