The Executive Assistant will manage administrative workflows, executive calendars, correspondence, records, meetings, deadlines, and communications while safeguarding sensitive information. This position requires exceptional professionalism, attention to detail, discretion, and the ability to work effectively in a deadline-driven military environment.
Essential Functions Executive & Administrative Support Provide administrative, clerical, and data-entry support for daily office operations.
Support senior leadership with executive-level administrative requirements and workflow coordination.
Manage calendars, appointments, schedules, meetings, deadlines, deliverables, and follow-up actions.
Coordinate meetings and conferences and assist with documenting and tracking resulting action items.
Maintain organized administrative processes and ensure assigned tasks and suspense items are completed within established deadlines.
Serve as a primary administrative point of contact for leadership.
Correspondence & Document Management Prepare, edit, format, proofread, and maintain professional correspondence and documentation.
Prepare emails, letters, reports, spreadsheets, presentations, briefing materials, and other administrative documents.
Scan, upload, organize, and maintain electronic records and files.
Ensure documents are accurate, properly formatted, and professionally presented.
Assist with records management and the maintenance of sensitive personnel and administrative documentation.
Utilize Microsoft Word, Excel, PowerPoint, Outlook, Teams, and related office applications in support of daily responsibilities.
Calendar, Meeting & Workflow Coordination Coordinate leadership calendars and appointments.
Schedule and organize meetings involving internal and external stakeholders.
Track deadlines, deliverables, suspense items, and follow-up requirements.
Attend meetings and conferences as requested and assist with documenting actions and next steps.
Coordinate across multiple organizations to ensure timely communication and completion of administrative requirements.
Consult with leadership regarding administrative priorities and outstanding actions.
Communication & Customer Support Serve as an administrative liaison between senior leadership, installation organizations, external agencies, and community partners.
Answer and route telephone, email, and in-person inquiries professionally and accurately.
Maintain professional communications with military personnel, civilian employees, external organizations, and visitors.
Apply appropriate military administrative practices, office procedures, protocol guidelines, telephone etiquette, and customer-service standards.
Communicate effectively both verbally and in writing.
Confidentiality & Information Management Handle sensitive, strategic, personal, and personnel information with a high degree of discretion.
Protect confidential information in accordance with applicable privacy, records-management, information-protection, and security requirements.
Safeguard government information, equipment, credentials, keys, records, and other assigned property.
Maintain appropriate control over sensitive electronic and physical documentation.
Follow all applicable installation security and information-assurance procedures.
Qualifications
Required Qualifications Associate degree in any field.
Minimum of one (1) year of clerical or data-entry experience in a professional office environment.
Minimum of one (1) year of experience working in a military environment.
Demonstrated proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
Ability to read, understand, speak, and write English fluently.
Strong written, verbal, telephone, and interpersonal communication skills.
Strong organizational and records-management abilities.
Demonstrated customer-service and professional telephone-etiquette skills.
Ability to manage multiple priorities, deadlines, schedules, and administrative requirements.
Ability to handle confidential and sensitive information with discretion and professionalism.
United States citizenship.
Preferred Qualifications Previous executive assistant or senior-leadership administrative support experience.
Experience working within a military, federal, legal, or command-level office environment.
Experience preparing executive correspondence, briefing materials, reports, and spreadsheets.
Experience tracking suspense items and coordinating administrative requirements across multiple organizations.
Experience handling sensitive personnel documentation.
Familiarity with Air Force records management, privacy, information protection, or administrative procedures.
