The Administrative Assistant supports the functions of the Religious Education program in cooperation and collaboration with the Director by organizing and directing the front office, handling administrative needs for Religious Education classes, as well as assisting with sacraments and events. This position is also responsible for the planning and execution of summer Vacation Bible School. As a representative of the parish this position will need to put the mission of the parish first in all actions and communications with others.
The Administrative Assistant will create a positive environment with an energetic personality for priests, parishioners, and staff members.
- Maintain centralized operation of the RE reception desk by receiving calls and visitors.
- Manage registration of students and assign to classes.
- Coordinate and assist RE department volunteers and catechists.
- Maintain uninterrupted teaching schedule by coordinating and scheduling substitute catechists.
- Plan, supervise and execute summer Vacation Bible School (VBS).
- Assist in the planning and execution of sacramental events and receptions.
- Maintain, compile and enter all confidential catechist, volunteer, and student records in the database.
- Facilitate communications by composing a weekly newsletter for Religious Education families.
- Receive tuition and fee payments, collect registration forms, and reconcile student accounts.
- Maintain inventory of all office supplies and educational materials.
- Collect, assemble, and analyze data to prepare reports as needed.
- Provide administrative support for the director in managing special projects.
- Must be able to foster a culture of warm hospitality, thoughtful collaboration, and Christ-like behavior, with a special emphasis on the virtues of faith, hope, and charity.
- Ability to multi-task, make decisions, and work independently in a fast-paced environment.
- Working competency with the Microsoft Software Suite
- Demonstrated skill in dealing with the public, students, and parents.
- The Administrative Assistant will work 30-40 hours/week as necessary for support to families, catechists, and parish staff. This will include scheduled office hours, Tuesday and Wednesday evening class times during the school year, sacrament celebrations, VBS, and occasional evening and weekend events. Specific scheduling of hours may be discussed and agreed upon with the Director of Religious Education.
- Must be a practicing Catholic
- Bachelor’s Degree preferred, or High school diploma or equivalent required
- Experience in nonprofit, parish or religious education operations is desired
