Summary:

The Ponca Tribe of Nebraska is a federally recognized Tribe with its ancestral homeland located in Niobrara, NE. The Tribe does not have a reservation in the classic definition; rather, the Ponca Restoration Act defined its jurisdiction as a ‘Service Delivery Area’ comprised of 15 counties throughout parts of Nebraska, Iowa, and South Dakota. Within its Service Delivery Area, the Tribe offers a broad range of health, social, educational, and cultural services.

Responsible for conducting in-depth research on grant programs, providing essential support to ensure seamless management of grant applications, awards, and related software. The role involves coordinating cross-departmental assessments to prioritize tribal development needs across crucial areas such as culture, education, social services, economic development, environmental, capital development and health.

Responsibilities and Duties:

  • Conduct in-depth research on federal, state, tribal, and private grant opportunities. Summarize findings, including eligibility, deadlines, and requirements, and present them to the Grants Director and relevant tribal departments. Ensure that all findings align with tribal strategic goals.
  • Collaborate closely with the Grants Director, Project Managers, and Compliance Officers to ensure that all grant-related tasks, from applications to post-award reporting, are completed accurately and on time. Act as a liaison between departments to ensure smooth execution of grant-funded projects.
  • Develop and maintain a comprehensive grant management system that tracks all Final date to receive applicationss, ongoing applications, continuation submissions, and reporting obligations. Implement a system for monitoring grant statuses and document reasons for pursuing or not pursuing specific opportunities.
  • Establish and manage an organized filing system for all grant proposals, awards, and feedback. Ensure that all required documentation is stored in compliance with tribal and grantor requirements and track non-awarded grants to refine future applications based on reviewer feedback.
  • Continuously monitor and update information on funding opportunities from agencies like the BIA, IHS, Administration for Children & Families, and other federal, state, and private entities. Share relevant updates with the Grants Director and department heads as new opportunities arise.
  • Organize and lead cross-departmental meetings with tribal leadership, department heads, and external agencies to identify project funding priorities. Facilitate discussion on potential projects and matching funding sources, ensuring alignment with tribal objectives.
  • Actively assist in drafting, reviewing, and proofreading grant applications in collaboration with the Grant Director and other stakeholders. Ensure compliance with all submission requirements, including budgets, supporting documents, and narratives, before the final submission.
  • Oversee and maintain the grant management software, ensuring all application materials, reports, and updates are accurately uploaded and tracked. Provide training to other staff on the effective use of the software and troubleshoot any system-related issues.
  • Lead training sessions for staff on how to effectively use the grant management software and assist with capacity-building initiatives to improve overall grant management processes across departments.
  • Contribute actively to the writing, submission, and post-award reporting of grants. Ensure compliance with funders’ guidelines and provide detailed reports to the Grants Director on the status of current applications and award results.
