Location (Full‑Time Onsite): 11204 Davenport Street, Suite 200, Omaha NE 68154

Schedule:

This is a 40‑hour week, 8‑hour shift schedule, Monday through Friday between the hours of 8:30 am to 5:00 pm CST. The schedule will be determined by the manager upon hire.

Primary Responsibilities
  • Provide reception and clerical support in the clinic's front office
  • Ensure all locations are welcoming and adhere to brand guidelines
  • Manage office supplies, facility management and upkeep
  • Support multiple facilities as needed
  • Support patient safety as part of care team
  • Support facility physical safety preparedness training efforts
  • Manage site‑specific initiatives including maintenance of education, adherence to policies and accreditation requirements as needed
  • New client registration and scheduling
  • Assist patients with the check‑in and check‑out process; review each patient's chart prior to appointment and ensure consents and insurance verification are complete
  • Collect and upload insurance cards and identification
  • Assist with onboarding new patients, help patient's access patient portal, prepare and confirm completion of paperwork.
  • Ensure consents and insurance verification are complete
  • Prior authorization request management as applicable
  • Triage patient question, complaints and concerns
  • Answer incoming calls and return voicemails timely
  • Respond to center outreach and triage incoming requests to appropriate departments
  • Assist in updating and/or schedule existing patient appointments and internal referrals with providers
  • Assist in transition of care and/or discharge procedures as applicable
  • Manage medical record requests and responses timely
  • Manage insurance audits as applicable
  • Respond to in‑person inquiries across the center and triage appropriately
  • Process payments for co‑pays, deductibles, self‑pay, etc.
  • Collect patient balances including co‑insurance post adjudication
  • Ensure patient inquiries are addressed quickly; including resolving patient insurance eligibility issues
  • Monitor clinician/admin/OBC inbox and respond accordingly within established guidelines.
  • Secure patient information and maintain patient confidentiality
  • Ability to assist with organizing and cleaning office
  • Performs other duties as assigned

Required Qualifications
  • High School Diploma/GED
  • 1+ years of customer service or healthcare related experience
  • Intermediate level of computer proficiency experience (multi‑tasking through multiple applications including Microsoft Outlook, Excel, and Word)
