Position Summary

Out Source One Bookkeeping and Payroll Services is seeking a detail-oriented, seasoned Payroll Specialist to manage full-cycle payroll operations across multiple clients across a variety of industries, ensuring accuracy, compliance, and timeliness. The ideal candidate will have solid experience with ADP and Gusto (or similar payroll platforms), multi-state payrolls, tax filings, and strong discipline to processes and deadlines. ADP certification is highly desirable.

  • Manage all aspects of payroll processing for multiple clients (or internal business u
  • Understand, collect, verify, and input payroll data regularly (timesheets, bonuses, deductions, garnishments, benefit contributions, overtime, tips, commissions, etc.
  • Maintain employee onboarding/offboarding in payroll systems: setup new hires, terminations, status changes, direct deposit, tax withholding forms, benefit deductions, etc.
  • Ensure compliance with federal, state, and local payroll tax laws, wage and hour rules, and reporting requirements (including multi-state filings).
  • Prepare, review, and deliver payroll reports to clients
  • Understand and manage quarterly, annual, and year-end payroll tax reporting requirements (e.g.,
  • Proactively communicate with clients and internal stakeholders concerning payroll questions, corrections, and best practices.
  • Stay current on changing payroll legislation, tax laws, and Department of Labor rules.
  • Assist in the implementation or improvement of payroll processes, automation, and internal controls.
  • Participate in periodic audits and provide documentation supporting payroll transactions.
  • Perform special projects as needed (e.g. system conversions, ADP/Gusto upgrades, role in client onboarding).
Qualifications / Skills

Required:

  • Minimum 2 years of payroll experience, preferably handling multiple clients and multi-state payrolls.
  • Hands-on experience with ADP (preferably ADP Nextgen/Workforce Now, Run, or similar) and Gusto
    , or equivalent payroll platforms.
  • Strong understanding of federal, state, and local payroll tax rules, wage & hour laws, deductions, garnishments, etc.
  • Excellent attention to detail, analytical mindset, accuracy under tight deadlines.
  • Ability to manage multiple payroll schedules and deadlines simultaneously.
  • Good verbal and written communication skills and ability to interact with clients and internal teams.
  • Ability to maintain confidentiality and handle sensitive data.
  • Strong organizational skills, ability to follow and document standard operating procedures and workflows.
  • Ability to pass full criminal and financial background check

Preferred / Nice to Have:

  • ADP certification (or willingness to obtain).
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) via American Payroll Association (or equivalent).
  • Experience in a public accounting or payroll services environment (serving multiple clients).
  • Experience with other HR/payroll systems or integrations (timekeeping, benefit systems).
  • Experience in process improvement, automation, or scaling payroll operations.
  • Familiarity with multi-state taxation complexities.
Working Conditions & Schedule
  • Standard business hours, but occasional extended hours near deadlines (e.g. close of period, year-end).
  • Occasional local travel to client sites or offices (if needed).

  • Base salary starting at $55k
