Position Summary

The Recruiting Assistant (RA) plays a critical role in supporting high-performing recruiters and managers by handling administrative, operational, and candidate-facing tasks in a fast-paced environment. This role is designed to remove friction from the recruiting process, allowing recruiters to focus on revenue-generating activities while ensuring a best-in-class experience for candidates and clients.

A successful RA is highly organized, proactive, detail-oriented, and thrives in a high-volume setting.

Key Responsibilities

Candidate Pipeline Support

  • Prepare and assemble complete submittal packets (resume, references, skills checklists, etc.)
  • Assist with pay package creation and candidate submissions
  • Track and follow up on candidate submittals and offers
  • Support review board processes and internal coordination

Timecard, Payroll & Billing Support

  • Assist with timesheet and payroll-related inquiries (UKG)
  • Help resolve outstanding billing and invoice questions
  • Serve as a liaison between recruiters and internal support teams

Onboarding & Compliance

  • Support onboarding processes and ensure timely completion of compliance requirements
  • Partner with internal teams to maintain accurate and up-to-date documentation

Salesforce & Data Management

  • Maintain accurate candidate and client records in Salesforce
  • Ensure data integrity and timely updates across systems
  • Assist with reporting and tracking as needed

Extensions, Retention & Coverage

  • Proactively reach out to clinicians regarding assignment extensions
  • Support retention efforts through consistent communication
  • Provide backup support to recruiters during PTO or high-volume periods
  • Partner with managers to prioritize workload when supporting multiple team members
Qualifications
  • Experience working within Salesforce or similar CRM systems preferred
  • Strong organizational skills with the ability to manage multiple priorities
  • High-level communication skills (internal teams, clinicians, and clients)
  • Exceptional attention to detail and follow-through
  • Effective time management in a fast-paced, high-volume environment
  • Team-first mentality with a proactive and solution-oriented mindset

  • Submittals are accurate, timely, and complete
