People Service is looking for the right candidate to join our team! We are looking for someone with payroll experience to process payroll, starting with the timesheets all the way to the quarterly and yearly tax filing. The candidate will also be responsible for keeping up with the ever changing laws as we currently have employees in 7 states.
As the Payroll/Benefits Coordinator, you will be responsible for supporting the organization and its employees through processing and administration of payroll and benefits utilizing an HRIS system. Collaborate with Human Resources Supervisor to assist in various programs.
Requirements Payroll Administration- Verify timekeeping records that meet company policy and government guidelines. Work with regional assistants to resolve any discrepancies.
- Maintains tax tables in compliance with federal and state guidelines as well as oversee federal and state tax reporting requirements on a quarterly, monthly, and yearly basis.
- Responsible for payroll and benefit processing, to include accurate wage adjustments, bonuses, retro pay, payroll deductions (benefits, garnishments, levies, child support, etc.) and accumulators (vacation, flex, salary continuation, etc.)
- Ensure end of year tax forms are accurate and distributed to current and former employees.
- Reconcile and transmit files and payments for taxes, retirement plans, garnishments, and other third-party vendors.
- Provide backup assistance during absences of Region Assistants for payroll/timekeeping system related tasks and questions to include, but not limited to change requests, missing punches, timesheets, time off requests, and accessibility.
- Keep informed and research law changes for multiple states, verifying updates in the HRIS/Payroll system as well as communicate to staff.
- Utilize payroll software to generate and write reports for payroll, auditing, and to meet the needs of the company management staff and personnel.
- Manage employee files and payroll service records, including accruals, salary continuation, promotions, transfers, new hires, terminations, tax records, with holdings, deductions, and other employee changes/records.
- Act as liaison between users and the functionality of the HRIS system and the HR/Payroll portions of SharePoint. Respond to inquiries and provide appropriate training.
- Stay informed on system enhances as well as communicate updates to impacted employees. Update necessary documentation.
- Ensure EDI files are submitted timely to the third-party vendor and respond to any audit inquiries identified on the transmission file.
- Coordinate benefit enrollment for new hires and changes for existing employees.
- Assist in the onboarding and pre-employment process.
- Coordinate the new employee onboarding/orientation and ensure completion of all forms necessary to properly enroll new employees in the HRIS system; satisfy applicable government regulations; and elect/enroll in applicable benefit plans.
- Ensure all new hire paperwork is completed and HRIS system is updated.
- Process terminations to ensure no indebtedness to the company, deductions and accrual balances are calculated appropriately.
- Generate COBRA letters timely. Manage the COBRA election process to make sure payment is received timely. Communicate monthly payments to the third-party vendor to maintain benefits.
- Complete government-required submissions, such as EEO-1, ACA, PCORI, CMS, Gag Clause, 5500 reporting, etc. Respond to data requests from auditors or government officials.
- Audit and process benefit invoices.

REQUIREMENTS- High school diploma or equivalent.
- Two or more years’ experience processing payroll utilizing an automated timekeeping system such as UKG/Kronos, ADP, etc.
- Customer-focused interpersonal and communication skills with the ability to display credibility and flexibility.
- Excellent time management, organizational, problem solving, critical thinking and mathematical skills.
- Meet professional obligations including and not limited to meeting deadlines and honoring schedules.
- Knowledge of word processing, spreadsheet, accounting, timekeeping, payroll, and human resources software. Experience in UKG/Kronos a plus.
- Working knowledge of a 10-key calculator.
- Firm grasp of Federal, State, and local laws, garnishments, taxes, and workers compensation regulations.
- Ability to use discretion when handling sensitive and highly confidential information.
- This position is required to work at the corporate office, located in downtown Omaha.
- Sufficient physical ability and mobility to work in an office setting.
- Ability to stand or sit for prolonged periods of time.
- Ability to occasionally stoop, bend, kneel, crouch, reach and twist.
- Ability to lift, carry, push, and/or pull light to moderate amounts of weight 50 lbs.
