Position Overview:
We are seeking an organized, proactive, and detail-oriented Project Manager/Project Coordinator to join our growing roofing company. This role will support back-end operations under the guidance of the COO, helping to streamline projects, secure city permits, manage insurance communications, and ensure smooth and efficient coordination across all areas of the project lifecycle. The ideal candidate is a self-starter with strong follow-through, an understanding of CRM systems, and excellent communication skills.
Key Responsibilities:
Project Coordination & Back-End Support:
- Assist the COO in managing daily operational tasks and coordinating project workflows.
- Oversee scheduling and project timelines to ensure jobs are completed on time and within budget.
- Serve as a central point of communication between field teams, suppliers, and customers.
- Manage and secure all necessary city work permits in a timely manner to keep projects on schedule.
- Ensure compliance with local, state, and federal regulations for all roofing projects.
Insurance Coordination & Follow-Up:
- Act as the primary liaison with insurance companies to facilitate claim approvals and manage necessary documentation.
- Follow up with insurance providers to resolve any pending issues and ensure timely reimbursements.
Customer Relationship Management (CRM):
- Utilize CRM software to track project statuses, customer interactions, and follow-ups.
- Keep CRM records accurate and updated, ensuring transparency and quick access to project information.
Team & Client Communication:
- Regularly update clients on project progress, addressing any concerns promptly.
- Coordinate with field teams to resolve any operational issues and keep projects on track.
Process Improvement:
- Identify areas for process improvement within the project coordination function and recommend solutions.
- Collaborate with the COO to implement new tools or processes that enhance efficiency.
Qualifications:
- Proven experience in project management, project coordination, or a similar role, preferably in the construction or roofing industry.
- Familiarity with city permitting processes and insurance claim workflows is a plus.
- Strong organizational and multitasking skills, with attention to detail.
- Proficient in CRM software and Google Workspace (preferred).
- Excellent written and verbal communication skills; must be personable and comfortable in a client-facing role.
- A self-starter with a proactive approach to problem-solving and the ability to work independently.
