The Administrator partners closely with faculty and the Department Chair to manage administrative, financial, and personnel operations, with particular emphasis on research administration and grant management. The role contributes to strategic planning, department development, and faculty recruitment, while ensuring compliance with university, school, and sponsor policies. The Administrator keeps the Department Chair informed of departmental operations, financial status, and emerging needs.
Responsibilities- Review and approve expenditures and oversee financial management of all departmental funds to ensure compliance with School of Medicine, University, and granting agency guidelines. Serve as the department's financial liaison to university and external stakeholders.
- Manage departmental operations and personnel processes, including requests for new or replacement positions, preparation of annual salary budgets, supervision of administrative staff, and coordination with Human Resources.
- Provide comprehensive financial management of research funds. Assist investigators with sponsored project budget development and proposal submissions; review financial statements; prepare timely financial reports; develop spending forecasts; and support investigators in long-term financial planning for their projects.
- Prepare and manage capital and operating budgets, including revisions and supporting documentation.
- Coordinate space utilization and maintenance needs in collaboration with the School of Medicine and other university offices.
- Report to and assist the Department Chair in managing departmental personnel, operations, and financial status.
- Support faculty recruitment efforts. Serve as the department's representative on School of Medicine or University committees, task forces, or working groups as needed.
- Bachelor's degree required;
Master's degree preferred - 3+ years of progressively responsible administrative experience, in university or academic medical center administration strongly preferred
- Management or supervisory experience required
- Experience in research administration and sponsored projects strongly preferred
- Knowledge of federal and non-federal grant management (e.g., NIH, DoD) highly desirable
- Demonstrated excellence in verbal and written communication
- Strong financial management and organizational skills
