The Travel Coordinator supports our Locums division by coordinating travel and housing accommodations for physicians and other healthcare providers working temporary assignments across the country.

This position is responsible for booking flights, rental cars, hotels, and extended-stay housing while providing excellent customer service throughout the provider’s assignment. The Travel Coordinator will communicate directly with providers about available travel and housing options, manage costs and expenses, maintain accurate records, and resolve travel-related issues as they arise.

The ideal candidate is organized, detail-oriented, comfortable speaking with healthcare providers, and able to follow established policies and approval procedures.

Responsibilities
  • Coordinate and organize travel requests for physicians and healthcare providers, including flights, hotels, rental cars, extended-stay housing, and other accommodations.
  • Communicate directly with providers to discuss travel needs, housing preferences, available options, and booking details.
  • Provide a high level of customer service and respond to provider questions or concerns in a timely and professional manner.
  • Research travel and housing options that meet provider needs while remaining within established company budgets and guidelines.
  • Negotiate lower rates with hotels, housing providers, rental car companies, and other vendors.
  • Follow established travel policies, approval processes, protocols, and documentation requirements.
  • Enter financial information, booking costs, expenses, and other travel-related data into Excel.
  • Maintain organized and accurate records of travel costs, housing expenses, receipts, confirmations, and vendor information.
  • Track and reconcile travel and housing expenses using Excel.
  • Monitor costs throughout the duration of each provider’s assignment and identify discrepancies or unexpected expenses.
  • Prepare and distribute travel statements, booking confirmations, and detailed itineraries.
  • Maintain copies of all receipts, invoices, agreements, and booking documentation.
  • Partner with recruiters, providers, vendors, and internal departments to coordinate travel arrangements and address changes.
  • Assist providers with emergency travel or housing situations, including canceled flights, rental car issues, hotel problems, or changes to an assignment.
  • Communicate changes quickly and clearly to all affected parties.
  • Perform other duties as assigned.
Skills and Competencies
  • Excellent verbal and written communication skills.
  • Comfortable speaking directly with physicians and healthcare providers about travel and housing options.
  • Ability to follow company policies, procedures, and approval protocols.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple bookings, deadlines, and provider requests at one time.
  • Strong problem-solving skills and the ability to remain calm during urgent travel situations.
  • Comfortable working with financial information, costs, receipts, and expenses.
  • Proficiency in Microsoft Excel.
  • Reliable, responsive, and accountable.
  • Self-starter who can work independently while collaborating with a team.
Qualifications
  • High school diploma or GED required.
  • Strong verbal and written communication skills.
  • Previous customer service, travel coordination, housing coordination, administrative, or operations experience preferred.
  • Healthcare staffing or Locums industry experience preferred.
  • Microsoft Excel experience required.
  • Experience tracking costs, expenses, receipts, or financial information preferred.
