Position: Assistant Municipal Court Clerk (Part-Time)

Overview

The City of Onalaska is seeking a detail-oriented and highly organized part-time (26 hours per week) Assistant Municipal Court Clerk. This position provides a wide variety of general office and administrative duties for the Joint Municipal Court Supervisor and Judge and serves as a key point of contact for the public.

Responsibilities
  • Assist with overseeing Municipal Court processes for the Joint Municipal Court.
  • Assist with training municipal court staff and interns as required.
  • Assist in the maintenance and oversee the general administration of the Court, including preparation of legal documents, court dockets and forms, intake/payment plan agreements, and general correspondence.
  • Enter and maintain accurate data in the Municipal Court software system and Department of Transportation website (pleas, dispositions, convictions, payments, citations, warrants, fines, community service agreements).
  • Assist in reconciliation of monthly citations and payments through the Municipal Court software system; reconcile T.R.I.P., collection agency payments; provide reconciliation reports to the Finance Department.
  • Perform clerical duties including preparation of general correspondence.
  • Direct and resolve all Joint Municipal Court inquiries and issues with approval from the Judge.
  • Maintain files for Joint Municipal Court accounts receivable and assist supervisor in corresponding with Finance Department for debt certification.
  • Assist in overseeing the operation of all communication systems in the Court office as per supervisor guidelines (computers, emails, faxes, calendars, schedules, meetings, records and files) and record system in the courtroom.
  • Demonstrate willingness to perform other job-related work as needed or requested; assist others and complete special projects.
Compensation & Benefits

Starting wage: $25.75 – $29.49 per hour (Steps 1–6), 52 hours bi-weekly. Eligible for annual wage advancement.

Requirements

Associate’s degree in office administration, paralegal, or related program; three (3) years of experience in an office environment or equivalent combination of education and experience; prior experience in budgeting and accounting; proficiency in Microsoft Office; valid driver’s license preferred.

Knowledge, skills, and abilities: proficient computer skills, excellent organization and record-keeping, ability to draft reports, interpret documents, knowledge of local ordinances and statutes, establish effective relationships, maintain confidentiality, professional demeanor, and ability to handle stressful situations.

Training & Other Requirements
  • Attend courses and training to stay current on rules and regulations in the court system and to run community programs.
  • Attend the yearly District 7 Municipal Clerks Meeting and other meetings as requested or required.
  • Attend court sessions.
  • Manage multiple tasks, establish priorities for work and procedure to follow.
  • Maintain detailed and accurate records and files, and draft and maintain reports from such information.
  • Read and interpret documents such as governmental regulations, legal documents, operating instructions and procedural manuals.
  • Knowledge of local ordinances and state statutes; court processes and procedures.
  • Establish and maintain effective working relationships with City employees and the general public.
  • Maintain confidentiality.
  • Maintain a professional demeanor; calmly approach and solve problems under stressful circumstances; maintain and promote harmony in the workplace; concentrate for extended periods and be flexible.
Additional Information

Required to attend court two Mondays per month. Flexible scheduling Monday through Friday between 7:00 a.m. and 5:00 p.m. Subject to background screening, pre-employment drug screening.

Physical Requirements
  • Manual Dexterity: coordinate hands, eyes, feet, and limbs in performing computer tasks, telephone usage, calculator use, and office equipment operation.
  • Physical Effort: mostly sedentary work; occasional light to medium effort including lifting, carrying, pushing, pulling, walking, standing, reaching, climbing, balancing, twisting, stooping, kneeling, or crouching; occasional lift of up to 25 pounds; specific vision abilities include close and distant vision and ability to adjust focus; ability to communicate and hear effectively.
  • Working Conditions:

    moderate quiet noise level; primarily indoors with controlled climate; occasionally outdoors for short periods subject to weather conditions.
