The Senior Living Outreach Specialist is responsible for supporting occupancy growth across nine assisted living, independent living, and blended communities. This position serves as the primary point of contact for prospective tenants and families, guiding them through the inquiry, tour, admission, and move‑in process. The Specialist works collaboratively with community Directors and marketing to develop and implement strategies that increase awareness of our communities, strengthen referral relationships, and improve overall occupancy.

Essential Duties and Responsibilities Admissions & Census Growth
  • Serve as the primary contact for prospective tenants, families, and referral sources.
  • Respond promptly to phone calls, emails, and online inquiries regarding community services and availability.
  • Coordinate and conduct tours of assisted living, independent living, and blended communities.
  • Guide prospective tenants and families through the admissions process from initial inquiry through move‑in.
  • Complete admission paperwork and ensure all required documentation is accurate and timely.
  • Maintain CRM within Point Click Care for leads, referrals, tours, admissions, and move‑ins.
  • Collaborate with community directors to identify census goals and strategies for occupancy growth.
  • Monitor occupancy trends and provide regular updates regarding census and lead activity.
Marketing & Community Outreach
  • Partner with the marketing team to develop and implement marketing campaigns that promote community services.
  • Coordinate community events, open houses, and informational sessions for prospective tenants and families.
  • Build and maintain relationships with referral sources including hospitals, clinics, rehabilitation facilities, social workers, senior centers, and community organizations.
  • Represent the organization at community events, networking opportunities, and professional meetings.
  • Identify new outreach and partnership opportunities to expand community awareness and referrals.
  • Assist in the creation and distribution of marketing materials, social media content, and promotional campaigns.
Collaboration & Communication
  • Work closely with community director to ensure a seamless transition for new tenants.
  • Communicate regularly with the Regional Director of Senior Living regarding census goals, marketing initiatives, and outreach efforts.
  • Maintain knowledge of services, pricing, amenities, and admission criteria for all nine communities.
  • Support special projects and initiatives related to occupancy growth and customer experience.
Qualifications
  • Experience in senior living, marketing, sales, or community outreach preferred.
  • Excellent interpersonal and communication skills with the ability to build strong relationships.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency with Point Click Care, CRM, Microsoft Outlook and other lead‑tracking systems.
  • Ability to travel regularly between communities and attend occasional evening or weekend events.
Knowledge, Skills, and Abilities
  • Strong customer service and relationship‑building skills.
  • Ability to present information clearly and confidently to prospective tenants and families.
  • Comprehensive knowledge of Wisconsin DHS 89 regulations, the Fair Housing Act, and Wisconsin landlord‑tenant laws.
  • Self‑motivated with the ability to work independently and prioritize competing responsibilities.
  • Strategic thinker with a focus on occupancy growth and community engagement.
  • Ability to maintain confidentiality and professionalism at all times.
Working Conditions

This position requires regular travel between nine senior living communities. Occasional evening or weekend hours may be required to attend community events, networking opportunities, or marketing activities. Must possess a valid driver’s license and be insurable.
