Office Of Academic Affairs Administrative Coordinator

The Office of Academic Affairs Administrative Coordinator provides essential administrative and programmatic support to the faculty in Clark and Golisano Halls as well as the Center for Global Education and Griffiths Center for Collaboration and Innovation. This position is central to maintaining accurate student records, facilitating communication, supporting faculty, assisting with academic scheduling, and coordinating academic events. The Coordinator plays a key role in ensuring efficient daily operations and a high standard of service to students, faculty, and external partners.

This person works closely with the faculty, Executive Director of Global Engagement & The Griffiths Center, while reporting directly to the Executive Assistant to the Vice President for Academic Affairs/Provost.

Responsibilities:

  • Provide administrative support to the Center for Global Education and the Griffiths Center including van coordination for international students
  • Assist with financial requests, order processing and purchasing
  • Reception – answer telephone calls, general inquiries, greet visitors
  • Provide logistical and administrative support to the VITA/IRS program
  • Provide administrative support to the Honors Program
  • Maintain files, electronic and hard copy – including student records
  • Coordinate events including reservations, refreshments, and event materials – Institute of Public Service, Sport Management Speaker Series, Student Showcase
  • Coordinate faculty searches within these departments
  • Assist with coordination of software platforms and associated data management, update web pages
  • Participate in significant campus activities including Welcome Weekend, True Blue Weekend, and Commencement Weekend
  • Expected to comply with all applicable College, Federal, State, local and associational laws, rules and regulations
  • As a representative of the College, expected to comport oneself in a professional manner at all times, both on and off campus
  • Performs other job-related duties as assigned
Qualifications

Minimum requirements for the position are a High School Diploma or GED and at least two years of office support experience. Experience with student record systems and event planning; and familiarity with systems such as Chrome River/Embark (or similar platforms), preferred.

  • Strong organizational skills with attention to detail and the ability to manage multiple priorities.
  • Proficiency with Microsoft Office Suite/Google Workspace and willingness to learn institutional systems
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Must have a valid driver's license, and be insurable by the College.
Wage Range: $20.00 - $23.00
