Remote Accounting Coordinator Job Description
The Accounting Coordinator is the eyes and ears for the bookkeeper and for the client. They support the bookkeeper to make sure they have what they need to maintain the books accurately. They support the client and make sure expectations are clearly understood and are being met. The Accounting Coordinator works with Bookkeepers internally to provide performance reports with professionalism, courtesy, and humility, to bring clients financial clarity, all while exhibiting Two Roads core values, FACES.
Thereare five focus areas for an Accounting Coordinator:
Know your clients, their needs, and how to care for them
- Understand what is important to the client and ensure we are fulfilling that need
- Learn the specifics and unique reporting items for the client
- Know your client’s communication preferences
- Ensure the Stacker Client Manual and Clickup tasks are updated with any changes
- Be available for client calls and meetings
- Respond to client’s questions and requests within a timely same-day to early next day response time
- Reach out to clients with follow-up questions when they have not replied.
- Anticipate client needs before they ask
- Understand anything that the bookkeeper needs from the client in order to be able to do their job
- Support the bookkeeper in resolving any of the above questions or constraints and work actively with the client to resolve them. Take this off the bookkeeper as much as possible
- Assist the bookkeeper in establishing new processes and procedures as needed
- Assist the bookkeeper with complex issues that need a second pair of eyes
- Do final review of financials (see next point)
- Reviewing the general ledger, Balance Sheet, and the P&L. G/L review should be at least once a month (utilize custom reporting for this purpose)
- Month over month reviews before sending to catch any gaps that we might have missed and to see trends in the business
- Problem solving as quickly as possible without the Bookkeeper when necessary
- You are responsible for the final financial statement product received by the client
- Confirm Fathom reports correspond to QBO before sending to a client
- Provide meaningful observations in reports to the client, such as:
- Significant swings in revenue or expenses month to month
- Year over year increases/decreases
- Items where input is needed (i.e. uncategorized)
- Send to the client and save reports in Google Drive
- Payroll
- Running payroll for those that we process for
- Ensure payroll accuracy
- A/P
- Pay bills weekly or based on the client’s preferences
- Year End
- Final year end financials review, including closing reconciliation for retained earnings and payroll
- Close the books in QBO once review is 100% complete
- Send the year end letter and necessary support to the CPA
- Review 1099 filings before submitting to the IRS and sending to vendors
- Annual report filing
- Onboarding
- Review onboarding clients that have been assigned to you and ensure processes are clearly documented and the books are reasonably clean
- Take ownership of any outstanding items that were not able to be resolved in onboarding
- Special projects (ie. payroll setup, worker’s comp audit, etc. ). Responsibility for completion is yours, but coordinate with the bookkeeper when possible and submit Disruptive Item forms when needed
- Client:
- 9-5 EST availability for client support
- Maintain a timely, same-day to early next day response time
- Be responsive to client phone calls
- Be the primary email contact for questions from the client
- Route transactional emails to the Bookkeeper as needed
- Be available for remote meetings with the client as needed
- Internal:
- Maintain a timely, same-day to early next day response time with team members, including Slack messages and Email communication
- Maintain Clickup tasks with the correct status of your tasks
- Use Clickup comments for communication with team members on tasks (rather than Slack or email)
- Inform the bookkeeper about any relevant information the client sends directly to you
- Participate in the monthly team meeting
- 412 All-staff monthly meeting
- Inform Bookkeeper and Team Lead of vacation or time away (refer to PTO guidelines on the intrasite)
3 years of public bookkeeping firm experience
