Job Summary:

We are seeking a detail-oriented and highly organized Remote Bookkeeping & Financial Operations Specialist to support day-to-day financial activities and ensure accurate record-keeping across the organization. This role is responsible for managing core accounting functions, including bank reconciliations, invoice processing, payment tracking, collections, and maintaining up-to-date financial records using Quick Books. The position also plays a key role in supporting month-end close activities, preparing financial reports, and maintaining well-structured documentation and filing systems.

The ideal candidate is a proactive and reliable professional with strong Quick Books expertise and a solid background in bookkeeping or data entry. They possess excellent communication skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. This individual must be capable of working independently with minimal supervision, handling financial responsibilities with accuracy and integrity, and effectively communicating with internal teams and external stakeholders.

A problem‑solving mindset, strong attention to detail, and a commitment to accountability and continuous improvement are essential for success in this role.

Key Responsibilities:

  • Perform bank reconciliations in Quick Books.
  • Ensure accurate and consistent data entry in Quick Books.
  • Manage and finalize invoices, ensuring completeness and accuracy of all entries.
  • Record payments and maintain up-to-date financial records.
  • Monitor and respond to emails, including handling collections as appropriate.
  • Follow up on outstanding invoices and manage collections to ensure timely payments.
  • Assist with month-end closing activities and financial record verification.
  • Maintain organized digital filing systems for financial documents and correspondence.
  • Prepare and maintain organized financial reports, spreadsheets, and documentation.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Strong communication skills with the ability to engage effectively with cross‑functional teams, internal leaders, providers, and potential clients.
  • Advanced Quick Books proficiency with extensive hands‑on experience.
  • Previous experience in Bookkeeping and Data Entry roles.
  • Ability to handle financial responsibilities, including collections and payment follow‑ups.
  • Highly organized, detail‑oriented, and able to thrive in a fast‑paced environment.
  • Honest, responsible, and dependable with a high level of integrity.
  • Strong judgment, critical thinking, and sound decision‑making skills.
  • Strong problem‑solving skills with an accountable approach to work.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
  • Out‑of‑the‑box thinker, proactive, reliable, organized, detail‑oriented, self‑motivated, and confident approach.
  • Positive attitude and the ability to learn and adapt quickly.
  • Excellent time management skills with the ability to work independently with minimal supervision.
  • Ability to work in alignment with U.S. Eastern Time (New York time) business hours for at least four hours.
  • Interested in long‑term career opportunities.
  • Reliable computer (Windows 10 or newer), two monitors, and stable high‑speed internet.
  • Compensation in USD.
  • Full‑time position with 40 hours weekly.
  • 9:00 AM – 5:00 PM or 10:00 AM – 6:00 PM New York Time (flexible).
