Location: PICKLE RESEARCH CAMPUS (J.J. Pickle Research Campus, North Austin)
PurposeThis is an in‑person position with one day a week of remote work. The role provides accounting services by processing invoices and accounting for procard transactions, ensuring accuracy, timeliness and compliance with Bureau and UT policy and procedures.
Responsibilities- Account for procard transactions promptly: obtain receipts, enter into Purchasing System, determine accounts, object codes and descriptions, ensure backup documents, obtain approvals, and send to Image Retrieval System.
- Process vendor invoices (including subawards, service agreements, rental cars, fleet fuel, royalties) accurately and timely, reconcile with records, contact vendors to resolve discrepancies, prepare corrections, obtain approvals and wire transfer information, and send approved documentation to the Image Retrieval System.
- Review subaward and service agreement payments, document important compliance clauses, and maintain tracking spreadsheets.
- Maintain invoice‑to‑payment tracking in Excel to ensure timeliness and prevent duplication.
- Develop a better understanding of UT accounting systems.
- Perform other duties as assigned.
- Bachelor’s degree and one year of experience in accounts payable, accounting, purchasing, or contracts.
- Strong organizational skills, flexible work style, good written and verbal communication. Proficient in Microsoft Excel, high attention to detail, ability to work as part of an administrative team.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications- Bachelor’s degree and two years of experience in accounts payable or accounting, including direct experience with accounting and reconciliation.
- Knowledge of UT business policies, DEFINE, contracts, grants and purchasing.
- Experience performing complex administrative functions and managing multiple projects.
- Strong problem‑solving and critical‑thinking skills.
$50,000 + depending on qualifications
Working Conditions- May involve standard office conditions.
- Repetitive use of a keyboard at a workstation.
