Accounting Assistant, Bookkeeper/ Accounting Clerk
Job Responsibilities
Perform multiple accounting support functions, such as compiling, sorting, and preparing documents and reports, issuing bills and invoices, calculating and verifying debit and credit amounts, and posting transactions to appropriate accounts. Ensure the appropriate filing and maintenance of accounting records. Input data into financial systems and reconcile reports. Create and produce reports and assist accountants on special projects as necessary.
- Review invoices for proper account coding and ensures proper approval level.
- Ensure sufficient supporting documentation (e.g., capital request, purchase order, packing slip) accompanies invoice.
- Enter invoices and check requests in computerized accounting system.
- Review invoices for sales and use tax requirements; recalculate tax on invoice for verification.
- Prepare accounts payable vouchers for ACH payments and for manual checks for Accounting Supervisor’s review.
- Transmit Positive Pay file to bank for all accounts payable checks issued.
- Identify new vendors, obtain required information for SBA and IRS requirements; maintain current vendor SBA and W‑9 files.
- Perform TIN (Tax Identification Number) matching on the IRS website for all new W‑9’s.
- Review travel advance log; notify Supervisor, Accounting of delinquent or outstanding advances.
- Research and complete assigned special projects.
- Maintain current Account Payable Technician Procedures Manual and vendor files with paid invoices.
- Process and audit employee and Board of Directors’ travel and expense reports for proper account coding and compliance.
- Reconcile monthly credit card statements to travel and expense reports.
- Assist employees with travel expense reporting and travel policy.
- High school diploma or equivalent.
- Three years of accounting or related experience.
- Proficiency with Excel.
- Works under limited supervision with latitude for independent judgment.
- Performs complex tasks and completes assignments with little or no assistance.
- Full proficiency in discipline.
- Must reside in the Kansas City metro area and be able to come into the office once a week for related tasks.
- Ability to provide a non‑cellular high‑speed Internet service such as Fiber, DSL, or cable Modems for a home office.
- Minimum standard speed for optimal performance of 30mbps download × 5mbps upload is required.
- Latency (ping) response time lower than 80ms.
- Hotspots, satellite and wireless internet service are NOT allowed for this role.
- A dedicated space lacking ongoing interruptions to protect member PHI / HIPAA information.
- Competitive salary ranges: $49,102 – $62,117
USD target; up to $69,216
