Job Description

Chronicle Heritage is seeking a motivated Billing Specialist to join our growing Accounting team. This role ensures the smooth and efficient operation of our accounting and payroll processes, working closely with Accounting and Sales teams to ensure accurate and timely client billing and maintain accounting records. Candidates should be organized, detail‑oriented, self‑motivated, able to handle confidential information, and demonstrate collaboration and excellent customer service.

Responsibilities
  • Prepare monthly client invoices ensuring compliance with contract and under the direction of Project managers.
  • Collect all backup for invoices when needed.
  • Review and reconcile specialty invoices (Caltrans, government funded projects, DOT).
  • Track and report to Project Managers project budget versus actuals.
  • Understand Job cost accounting and  Progress.
  • Read and thoroughly understand contracts and amendments, updating record as assigned.
  • Perform other duties as assigned.
Required Qualifications
  • Associate degree or higher
  • 2+ years of experience in accounting
  • 5+ years of experience in Project Billing with the CRM (Cultural Resource Management) or A/E (Architecture or Environmental) Industries
  • Proficiency with Microsoft Office Suite Applications (Word, Excel, PowerPoint, Outlook, Project)
Preferred Skills
  • Bachelor’s degree
  • Knowledge of and working experience using Sage Intacct
  • Experience using Sales Force (CRM)
  • Advanced analysis and problem‑solving skills
  • Ability to work under pressure with tight deadlines
  • Ability to work with minimum direct supervision
Physical And Mental Requirements And Work Environment
  • Vision required to observe environmental phenomena and record and translate observations into text.
  • Mental requirements include ability to organize one’s own work or that of crew members; recognize and observe scientific data and analyze data as well as perform calculations. Must respond appropriately to social and professional interactions.
  • Work primarily indoors, sustained sitting, use of fingers, hands, and arms to operate a computer and perform keyboard entry of data or document preparation (or equivalent with accommodation). Operate standard office equipment.
Pay Range

$26.44 - $31.25 per hour
