Location: San Rafael, CA
Carlin & Associates, CPAs is seeking a full-time Full-Charge Bookkeeper to join our Financial Oversight Department. We are a well-established CPA firm with more than 30 years of experience providing accounting, tax, advisory, and consulting services to high-net-worth individuals, families, and businesses throughout the San Francisco Bay Area.
This is a great opportunity for an experienced bookkeeper who enjoys variety, client communication, and working closely with a professional accounting and tax team. The ideal candidate is detail-oriented, organized, comfortable managing multiple client accounts, and experienced with Quick Books, reconciliations, payroll, AP/AR, and financial reporting.
This position is Monday-Thursday in our San Rafael office and Friday work-from-home
. Because the role is primarily in-office, candidates must be within a reasonable commute to San Rafael. Ideal locations include Marin County, Sonoma County, and northern San Francisco.
- Maintain Quick Books files for various clients, including data entry, reconciliations, journal entries, and financial reporting
- Manage accounts payable and accounts receivable processes
- Process payroll and related payroll reporting
- Prepare and process forms such as 1099s, W-2s, payroll tax returns, sales tax returns, business property tax returns, and business license/gross receipts filings
- Collect, organize, and review client financial records
- Perform bank, credit card, and account reconciliations
- Assist with internal accounts receivable processes for Carlin & Associates, including invoicing, payment processing, and account reconciliations
- Communicate professionally with clients to request information, answer questions, and resolve bookkeeping issues
- Work closely with the tax team to ensure client books are accurate and ready for tax preparation
- Help identify missing information, unusual transactions, or items that need manager/CPA review
- Maintain organized records and documentation for client files
- Minimum 3 years of bookkeeping experience required
- Prior experience in a CPA firm, tax firm, bookkeeping firm, or client accounting services environment preferred
- Proficiency in Quick Books Online required
- Proficiency in Excel and Word required
- Experience with AP, AR, reconciliations, journal entries, and month-end close
- Experience with construction accounting and job costing is a plus
- Bachelor's degree in Accounting or related field is a plus
- Strong organizational skills and ability to manage multiple client engagements
- Excellent communication and customer service skills
- Strong attention to detail and good professional judgment
- Ability to work independently while also collaborating with the accounting and tax team
- Ability to meet deadlines and manage competing priorities
