Role Description The Bookkeeper & Admin Manager is a hybrid role responsible for maintaining accurate financial records and managing the administrative aspects of MAP Medical’s medical supplies distribution business. The role requires regular presence at our Chicagoland office/warehouse, but we do offer work-from-home flexibility. The ideal candidate has approximately 3-5 years of bookkeeping experience, ideally gained in startup or small-organization environments where wearing multiple hats is a normal part of the job.
Bookkeeping
- Maintain accurate and up-to-date financial records using Odoo ERP.
- Manage accounts payable and accounts receivable, including vendor invoices, customer billing, and weekly ACH, Wire, and credit card payment runs
- Manage working relationships with customer and vendor accounting, AP, & AR teams
- Perform reconciliations of bank accounts, general ledger accounts, accounts receivable, and accounts payable while researching and resolving discrepancies on a regular schedule
- Process payroll and related entries.
- Provide financial information and reporting support to leadership to assist with operational efficiency and business planning.
- Assist with month-end and year-end close processes.
- Coordinate with external CPA/tax preparer as needed.
Administrative
- Track and categorize expenses; maintain organized supporting documentation.
- Manage MAP Medical’s various subscriptions and service vendors
- Serve as the point of contact for facilities, IT, and service vendors.
- Maintain company filing systems (digital and physical) and organizational records through MS One Drive.
- Support onboarding of new team members with workspace setup and administrative orientation.
- Manage incoming mail, deliveries, and general office logistics.
- Handle general administrative tasks and special projects as assigned.
Qualifications
- 3-5 years of bookkeeping, accounting, or treasury operations experience, including general ledger management, account reconciliations, and adherence to GAAP accounting principles.
- Experience with accounting software and productivity tools (e.g., Quick Books or similar systems, Excel, cloud-based collaboration platforms, experence with Odoo ERP is plus).
- Administrative and organizational skills, including document management, data entry accuracy, scheduling coordination, and workflow tracking.
- Clear written and verbal communication skills for working with internal teams, vendors, and customers in a remote environment.
- Ability to prioritize tasks, manage deadlines, and work independently with minimal supervision while maintaining a high level of confidentiality.
- Prior experience in medical supplies or general distribution environments is beneficial. Experience in a small company or start-up organization also a plus.
- Associate or bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent practical experience.

Compensation
Salary: $60,000 - $70,000 per year, commensurate with experience.
