Position Title: Accounts Payable Specialist
Department: Administration
Reports to: Accounting Manager
FLSA Status: Non-Exempt
Pay: Up to $23/hour
Established in 1993, Tampa Bay Watch, Inc. is a 501(c)(3) nonprofit organization dedicated to the protection and restoration of the marine and wetland environments of the Tampa Bay estuary through scientific and educational programs.
Position Summary: This position is an integral part of the Tampa Bay Watch accounting team and is responsible for accounts payable activities of the organization and grant expense tracking. It ensures organizational compliance with general accounting controls, generally accepted accounting principles and auditing standards. This position requires strong ethical behavior in all business practices. Listed below are the primary responsibilities of the job.
Key Responsibilities:
- Enter and code financial transactions into accounting software according to established procedures.
- Process accounts payable including coding and entering invoices, maintaining vendor records, and collecting required documentation.
- Prepare and process weekly check runs and ACH payments per accounting procedures.
- Code and post purchasing card activities and obtain supporting documentation.
- Reconcile monthly credit and purchasing card statements.
- Monitor checking account balances and resolve Positive Pay fraud prevention alerts.
- Process bi-weekly payroll using payroll software.
- Process bi-weekly retirement plan account funding and maintain related records.
- Assist with Human Resources activities including personnel onboarding administration, documentation and payroll software data maintenance.
- Maintain US Coast Guard Consortium records including enrollment, renewals and drug screenings.
- Deposit, code and post checks received.
- Code and post daily cash deposits from Discovery Center and daily credit card deposits from credit card processors.
- Compile, record and track grant and restricted funding expenditures monthly.
- Assist with data entry for monthly financial close process.
- Assist with annual 1099 processing, budget preparation, and financial audit documentation requests.
- Research and compile financial information and reports as requested.
- Participate in employer-sponsored events as required.
Physical Requirements:
While performing the duties of this job, the employee regularly is required to sit, type, talk and hear. The employee may be occasionally required to stand, walk for extended periods, and spend time in the Florida outdoor heat during special events. The employee must be able to lift up to 25 lbs.
Education, Knowledge, and Skills Required:
- Associate degree in Accounting with two years of accounting experience preferred. Equivalent combination of education and accounting experience may be considered.
- Strong attention to detail with excellent organizational, analytical, time management, and multitasking skills.
- Ability to prioritize work, manage multiple deadlines, and exercise sound judgment.
- Excellent written and verbal communication skills with the ability to build and maintain professional relationships with management, employees, board members, volunteers, vendors, customers, and community partners.
- Demonstrated computer proficiency with the ability to learn new software systems quickly.
- Must be proficient in accounting software, Quick Books experience preferred.
- Must be proficient in Microsoft Office Suite applications including Excel and Word.
- Experience with payroll processing software preferred.
- Self-motivated with the ability to work independently and in a team environment.
- Must demonstrate impeccable work ethic, high quality performance, reliability, confidentiality, honesty and professionalism.
- Ability to work a regular 40-hour workweek, with occasional overtime, evening, or weekend commitments as needed. Some remote work may be available.
- Experience working in a nonprofit organization is preferred.
- Demonstrated experience working with high performance teams.
- Reliable transportation and/or a valid driver’s license required.
