Payroll Specialist

The Payroll Specialist ensures the accurate and timely processing, printing, and distribution of multiple payrolls in compliance with company policies, procedures, and all applicable government regulations. This role owns several weekly and bi-weekly payrolls, manages complex payroll adjustments and supplemental payments, and maintains complete and compliant payroll records and filings. The position also supports new hire onboarding and contributes to a growing, collaborative payroll team within a dynamic, expanding organization.
Responsibilities
- Process and own multiple payrolls, including weekly and bi-weekly cycles, ensuring accuracy, timeliness, and compliance with legal and company requirements.
- Print and distribute payroll checks and manage related documentation in accordance with established policies and procedures.
- Write up and enter payroll adjustments such as garnishments, deductions, wage assignments, vacation checks, bonus checks, advances, and other special payments.
- Request and process supplemental checks, including child support payments, employee savings deposits, net deposits, and tax-related payments.
- Process monthly billings for health and dental insurance and ensure accurate integration with payroll records.
- Assist with new hire orientation, including payroll setup, timekeeping enrollment, and related onboarding activities.
- Ensure completion, accuracy, and ongoing maintenance of all payroll-related records, filings, and reports.
- Prepare and file all required government forms and reports on a timely basis, including monthly, quarterly, and annual filings.
- Manage IRS and state tax checks, ensuring correct processing for multi-state payroll operations.
- Support automated timekeeping processes and handle weekly tasks such as pay changes, reclassifications, terminations, new hires, enrollments, and union reporting.
Essential Skills
- At least 5 years of payroll experience, strong in end-to-end payroll processing.
- Demonstrated experience with multi-state payroll processing, including compliance with regulations across multiple states.
- Proficiency in managing weekly and bi-weekly payroll cycles for multiple groups or business units.
- Ability to accurately handle complex payroll adjustments such as garnishments, deductions, wage assignments, bonuses, advances, and vacation payouts.
- Experience preparing and filing monthly, quarterly, and yearly government payroll reports and forms.
- Familiarity with processing IRS and state tax checks in a multi-state payroll environment.
Additional Skills & Qualifications
- Experience supporting office or corporate payroll operations within a large, multi-unit organization.
- Prior exposure to union reporting and coordination with teams that handle union payroll and prevailing wage (even if this role focuses on office payroll).
- Experience using ECMS or similar ERP systems for payroll and related financial processes.
- Experience using Bamboo or similar payroll platforms.
- Proficiency with Microsoft Excel; ability to use functions such as pivot tables and VLOOKUP is not required but would be highly beneficial.
Job Type & Location
This is a Contract to Hire position based out of Minneapolis, MN.
Pay and Benefits
The pay range for this position is $24.00 - $35.00/hr individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
