Job Description
The Tax Associate plays a critical role in supporting multi-state sales and use, gross receipts, and other indirect tax compliance. This position focuses on analyzing data, preparing and filing returns, requesting payments, reconciling tax accounts, and supporting monthly close processes with management review before submission or payment. The role is fully remote and offers predictable monthly and quarterly workflows, providing direct exposure to multi-state indirect tax compliance.
Responsibilities
- Pull, validate, reconcile, and analyze accounting, payroll, and reporting data; organize taxable activity and enter filings in jurisdiction portals.
- Prepare and file state and local returns, including sales and use, business license, commercial activity, franchise, net profit, business and occupation, and local income taxes; assist with Canadian and other international filings as needed.
- Manage monthly, quarterly, and annual compliance deadlines, including approximately eight sales tax filings in a typical month, additional quarter-end filings, and business-license renewals primarily early in the year.
- Prepare tax payment requests and coordinate timely, accurate payments with Accounts Payable; complete multi-state tax account reconciliations, accruals, and true-ups for monthly close.
- Audit taxability and work or benefit locations weekly; partner with internal teams to apply sales tax requirements based on contracts and business activities.
- Maintain tax controls and sales and local tax procedures; support ad hoc analysis, special projects, and broader accounting responsibilities as needed.
Must Haves:
- Bachelors degree in Accounting, Finance, or a related field.
- At least 1 year of professional accounting or tax experience.
- Basic tax preparation experience, such as sales tax, SALT, or individual returns (1040s).
- Strong Excel skills, including lookups and data analysis.
- Ability to pull, reconcile, and analyze data across systems and reporting tools.
- Understanding of accrual accounting and month-end close.
- Ability to manage recurring compliance deadlines.
Nice to Have:
- Hands-on SALT or indirect tax experience, including directly preparing and filing sales and use tax returns.
- Experience with multi-state tax accruals, reconciliations, and journal entries.
- Familiarity with Microsoft Dynamics Great Plains, Bullhorn, VMS, and cloud-based reporting tools, including SSRS.
- Staffing-industry tax experience and exposure to Canadian or other international filings.
- Comfort working remotely with a distributed team.
Work Environment
This is a fully remote opportunity, working Monday through Friday, 8 am to 5 pm. The position offers predictable monthly and quarterly workflows, direct exposure to multi-state indirect tax compliance, and the chance to build practical tax compliance, reconciliation, and systems experience. Training and overlap with the current Tax Associate are provided, along with support from the hiring manager and an additional experienced team member.
