The OpportunityMawer Investment Management is actively seeking a dynamic individual to fill the pivotal role of Receptionist. We are looking for a self-assured, customer service-oriented professional to join our downtown Investment Management firm. The ideal candidate will be an exceptionally detail-oriented team player, adept at being the first point of contact for office visitors. You will work alongside a fellow receptionist, supporting a collaborative and team-oriented front desk environment.
This role offers a unique opportunity to be at the center of our team, playing a crucial part in creating a welcoming office atmosphere.
- General reception duties including answering phones, checking for faxes, greeting and assisting employees, visitors, maintenance people, tradespeople, etc.
- Enter and track building maintenance requests
- Ensure all floor plans are kept up to date
- Assist with planning and execution of internal and external meetings, training sessions, and company events
- Coordinate the Board Meeting set-up and catering
- Assist with expense reports
- Manage access cards for the company including onboarding and offboarding employees and visitor passes, reconciling passes
- Handle client documentation while maintaining security, privacy, and compliance policies
- Ensure the reception manual is up-to-date and other employees providing coverage are trained
- Other duties as assigned to assist many other departments in our ever-changing hybrid environment
- 5+ years of Reception experience in an Office Professional environment
- Excellent verbal and written communication skills
- Proficiency with the Microsoft Office Suite, specifically Excel and Word, Microsoft Office Teams an asset
- Proven ability to perform administrative duties with professionalism, accuracy, and a keen eye to detail
- Proven time management, prioritization, and organizational skills, including the ability to work independently within broad parameters and accomplish goals within agreed upon deadlines
- Proven track record of being open to feedback and direction, contributing enthusiastically to team success
- Service-focused with an approachable disposition
- Calm positive attitude under pressure and shows professionalism in all interactions
- Demonstrates flexibility and a positive, "can do" attitude
- Team player who will step in to help wherever needed
- Superior, and proven, respect of confidentiality and confidential matters
- Seeks continuous improvement and proactively identifies opportunities
- Ability to have some flexibility with work schedule when required
