Overview
The role Executive Assistant & Marketing Support Specialist is a remote, offshore position that supports the executive team with scheduling, expenses, content posting, systems management, and client logistics. This dynamic, multi-functional role requires strong administrative execution, attention to detail, adaptability, and a learning mindset as the business grows.
Location: Remote — South Africa Preferred
Schedule: Full-Time | 8:00 AM - 5:00 PM CST
Reports To: Executive Team
Key Responsibilities- Executive & Administrative Support
- Scheduling:
Manage light calendar coordination and appointment setting for the executive team. - Financial Administration:
Process and track expenses for executives. - General Administrative Execution:
Handle day-to-day administrative tasks with accuracy, efficiency, and a proactive approach. - Client Logistics:
Support client engagements by logging into systems, setting up assessments (e.g., Social Styles), assisting with class registrations, and managing participant lists. - Marketing Content & Operations Support
- Content Management:
Collaborate with our in-house copywriter to publish content using existing templates and scheduling tools. - Visual Asset Sourcing:
Search licensed stock image libraries to match copy and follow brand templates. - Social Media Support:
Assist with posting schedules and content execution across platforms. - Presentation & Document Support:
Use templates and provided copy to build presentations; format Google Docs and client-facing materials. - Digital File Management:
Maintain organized Google Drive and Notion spaces, upload videos, and ensure all assets are properly stored. - Technology & Automation Enablement
- Process Automation:
Identify opportunities to streamline workflows and reduce manual tasks. - Zapier (or Similar Tools):
Create or update simple automations (bonus if experienced). - Tech Navigation:
Confidently learn and operate new systems, platforms, and tools with minimal guidance.
- Payment: Compensation follows a Net 30 payment cycle.
- Hours: Must work 8:00 AM - 5:00 PM CST to support U.S. operations.
Skills & Qualifications
- Experience:
- Proven experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, or similar support role.
- Skills:
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and deadlines confidently.
- Strong administrative execution and self-management.
- Communication:
- Excellent written and verbal English skills.
- Mindset:
- Self-starter, resourceful, eager to learn, and comfortable with varied responsibilities.
- Thrives in a fast-moving, evolving work environment.
- Technical:
- Comfortable navigating proprietary systems, Google Workspace, and digital tools.
- Experience with Zapier or automation tools (preferred but not required).
