Note: This role requires you to work mostly on-site. Remote work is possible at times, but it is only an added flexibility and not the main work arrangement.

You’ll be the extension of the C-Level — making sure operations, communication, and priorities are always on track. This isn’t a typical 9-to-5 role. It’s about achieving results, staying proactive, and ensuring nothing slips through the cracks.

We’re seeking a proactive Executive Assistant who supports the C-Level with strategic focus, operational excellence, and cross-functional collaboration across the business. This role emphasizes ownership, urgency, and high standards of communication.

Key Responsibilities :
- Strategic Business Focus & Operations
- Business Relations: Serve as the Executive's professional point of contact. Manage and ensure quick ("Satset") and accurate follow-up on critical communications with Clients, Vendors, and Business Partners.
- New Business Development: Proactively support new business development initiatives and projects with Partners, including the preparation of presentation materials, research, and strategic schedule coordination.
- Business Documentation: Draft, edit, and format proposals, contracts, client presentations, and business summaries with absolute precision, maintaining a zero-tolerance policy for errors.
- Meticulous Administration & Order
- Data Organization System: Design and maintain a highly organized and structured filing and documentation system (both digital and physical) for all essential documents, particularly those related to Clients and Vendors.
- Complex Calendar Management: Proactively manage the Executive's daily schedule, meetings, and itineraries, preventing scheduling conflicts and anticipating last-minute logistical needs for every engagement.
- Meeting Notes & Follow-up: Accurately capture business meeting minutes, swiftly identify key action items, and take full ownership of tracking their progress.
Requirements :
- In 1 year of proven experience as an Executive Assistant, Personal Assistant, or Project Manager, ideally supporting C-Level/Founders in a fast-paced environment (startup, agency, or consultancy).

You are proactive, not reactive. You don t wait to be told what to do. You see a problem, you find a solution, and you own the outcome. - Excellent stakeholder communication:
Comfortable and professional in managing communications with high-level clients, vendors, and business partners (in both Indonesian and English). - True flexibility:
This is a remote role, but not a 9-to-5 one. You understand that urgent business needs can arise outside of standard hours and are prepared to be available. - Willing and excited to travel for business (domestic or abroad).
