Position: Regional Assistant- TN Nashville area(Mostly remote- some travel)

Overview

Upstream Rehabilitation is looking for a Regional Assistant to join our team for Tennessee regions. The Regional Assistant supports the Vice President of Operations (VPO) in monitoring, analyzing and trending the territory census and budgets, and assists with recruiting/onboarding coordination, Foundations for Excellence Day facilitation and regional meetings. This position supports the Mission, Vision and Values of Upstream Rehabilitation.

Responsibilities
  • Administrative:
    Assure discreet handling of all business; present essential priorities noting deadlines on incoming requests; develop and maintain strong professional relationships with operations team members (VPO, RVPs, Regional Directors, Multi-Site Directors, central office); maintain calendars for float schedules, schedule changes and vacation coverage; assist with roll-out of company initiatives to the territory; approve timecards in ADP for VPO and RVPs; coordinate expense reports;

    coordinate onsite and offsite meetings and events; coordinate travel for VPO and RVPs; maintain territory roster.
  • Reporting & Compliance:
    Prepare and maintain reporting structure for VPO distribution (e.g., unopened/unclosed notes, daily visits and potential, Clinic Director Management Reporting); assist with compliance and time-sensitive task management (e.g., Focus 15, chart audits).
  • Recruiting, Onboarding & Engagement:
    Serve as liaison between hiring managers and recruiting team for in-person interviews; manage pre-employment testing setup and tracking; organize Day One for new hires; coordinate training for all non-clinical associates; organize and facilitate territory Foundations for Excellence Days; maintain calendar of birthdays/anniversaries; ensure completion of New Hire, Focus 15 and Annual Training tracks; follow up with outstanding associates; participate in associate engagement events and recognize contributions.
  • Financial:
    Find, filter and present data in meaningful formats; create reports beyond Power

    BI; manage metrics for regional territory; monitor regional financials, results and analytics; interpret data for organizational decision-making; investigate data discrepancies across systems and respond to ad-hoc data questions.
  • Other:
    Perform other duties as assigned.
  • Qualifications

    Required

    Education:

    High school diploma or equivalent.

    Experience:

    3 to 5 years of strong administrative background; attention to detail with data discrepancies; experience with data management and integrity (cleaning, filtering, sorting data); basic data analysis and Excel formulas (Lookups, Averages, Sum, Count).

    Licensure:
    Valid driver’s license required.

    Skills:

    Strong written and verbal communication; excellent project and time management; highly organized with problem-solving aptitude; eagerness to learn; ability to work efficiently with minimal supervision.

    Environment/Hours/Travel:
    Office environment;
    Monday–Friday during normal business hours; ability to attend events, some evenings/weekends, and overtime as requested; minimal travel required.

    Physical/Work Requirements:
    Light physical demand; frequent tasks include hearing, vision, talking, sitting, computer/phone use; occasional standing, walking, bending; occasional lifting 0-20 lbs; rare lifting under 10 lbs; driving as needed.
