Administrative Coordinator (aHEO) - Social Work

The Department of Social Work at Lehman College invites applications for a full-time Administrative Coordinator (aHEO) beginning Spring 2026. This position reports directly to the Department Chair and supports faculty, staff, and students through departmental administration, event planning, and stakeholder engagement.

Location

Lehman College, Bronx, New York – on‑campus (remote work available under college guidelines).

Core Responsibilities
  • Serve as the department’s administrative coordinator, ensuring smooth daily operations and providing consistent support to faculty and staff.
  • Provide support to the Bronx Telehealth Counseling Center and facilitate CUNYfirst enrollment permissions for nursing courses.
  • Organize and maintain departmental documents such as faculty CVs, license files, and compliance materials.
  • Communicate with campus facilities, public safety, and building management to address maintenance, security, and space needs.
  • Prepare meeting materials, including agendas, summaries, and follow‑up documentation.
  • Send timely reminders to faculty regarding institutional requirements and deadlines.
Academic and Event Planning Support
  • Develop and maintain a comprehensive annual calendar of departmental events, meetings, and key academic deadlines.
  • Organize the department’s annual recognition ceremonies and graduation celebrations, coordinating logistics and communications.
  • Plan and support social and community engagement events, collaborating with community leaders and healthcare partners.
  • Assist the department in communicating with external stakeholders and enhancing program visibility.
Chair’s Office Support and Faculty Coordination
  • Liaise with the Chair’s Office to support strategic initiatives and track documentation.
  • Track student academic concerns, compile reports, and coordinate follow‑up with program directors.
  • Help maintain an up‑to‑date list of departmental committee members and activities.
Qualifications
  • Bachelor’s degree from an accredited institution in a relevant field.
  • Maintain confidentiality regarding sensitive issues.
  • Independent, self‑motivated, and able to work under limited supervision.
  • Excellent interpersonal, communication, and team collaboration skills.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint) and Zoom; knowledge of Mac OS beneficial.
  • Strong written and verbal communication, negotiation, and problem‑solving abilities.
  • Capacity to maintain composure under stressful situations and multitask effectively.
CUNY Title Overview
  • Supports projects, initiatives, and activities that impact an academic or administrative department.
  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and information distribution.
  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
  • Maintains and updates office databases and files for completeness and accuracy.
  • Conducts internet and database research to locate information related to department activities.
  • Assists in budget administration, invoice processing, and fiscal plan maintenance.
  • Provides basic information, instructions, and materials to students, faculty, and others who contact the department.
Salary & Benefits

Non‑exempt; annual salary $68,668–$77,269, commensurate with education and experience. CUNY benefits include health plans, retirement/pension, tuition waivers for graduate study, paid time off, and access to extensive academic and athletic programs.
