ResponsibilitiesAs Fleet Manager at Kinder Care, you’ll support the daily operation and ongoing improvement of a national fleet program as a key partner to the Fleet Manager and a primary contact for fleet-related support across the field and internal business collaborators. The role blends customer service, operational follow-through, and data-driven problem solving to ensure fleet services are delivered consistently, accurately, and on time.
It supports both buses and single-driver vehicles like sedans, vans, and work trucks. Responsibilities include coordinating maintenance and downtime support, managing driver and vehicle data, handling vehicle assignments and relocations, compliance documentation, controlling fuel and costs, and producing recurring reports.
You’ll track open items, communicate status and risks proactively, and resolve issues to protect service levels, compliance, financial integrity, and confidence among partners.
- Act as the primary internal fleet coordinator for field leaders, centers, and internal business partners. Address requests with a customer-centered attitude and direct issues to the appropriate owner. Keep accountability for follow-up until the matter is resolved.
- Manage fleet intake and triage by collecting required information, validating details, documenting requests, assigning priority, and tracking action items to closure.
- Coordinate maintenance and downtime support by documenting needs, tracking aging items, calling out delays when necessary, and confirming completion. Provide assistance for urgent incidents such as accidents, breakdowns, roadside needs, and vehicle safety concerns through appropriate routing and documentation.
- Support driver and personnel changes by onboarding new drivers and processing terminations and role changes. Maintain allowance and company car updates when applicable. Ensure timely and accurate updates in fleet records and partner communications.
- Maintain fleet systems and trackers such as Smartsheets, databases, and internal templates. Perform consistent data entry, auditing, validation, and reconciliation. This ensures information is accurate, complete, and reliable.
- Support vehicle lifecycle activity including vehicle assignments, vehicle relocations, center openings and closings, vehicle redeployments, surplus identification support, and disposition coordination; maintain centralized tracking and communicate status updates and risks.
- Provide support for compliance administration through documentation collection and organization. Keep renewal and inspection records up to date. Aid state or jurisdictional requirements as needed. Coordinate follow-up actions on non-compliance to maintain operational readiness.
- Track and support recall activity by maintaining trackers, routing communications, coordinating repairs where required, and validating completion documentation, including situations where internal coordination is required.
- Support fuel program administration and controls by monitoring reports, identifying exceptions or unusual patterns, documenting findings, and coordinating follow-up and resolution with field leaders and other collaborators.
