Atlas Technical Consultants ("Atlas") is currently seeking an Executive Assistant to provide administrative support to members of the executive team. This position is located in our Denver Tech Center office in Colorado and requires presence at the office daily with work-from-home available on an as-needed basis.
Responsibilities- Provide executive-level support in calendar management, scheduling and coordinating meetings and appointments, prioritization, resolving schedule conflicts, making and coordinating travel arrangements, expense report management, and providing communication and logistical support for conference calls, meetings, and events.
- Engage in sensitive and confidential matters with the strictest confidence. Regularly interact with internal and external executives.
- Manage and maintain files, records, and correspondence for meetings.
- Maintain an accurate listing of ongoing items/issues and track them to completion.
- Coordinate and organize corporate meetings and events, including site selection, contract negotiation, vendor management, catering and excursions.
- Provide support in document management, data entry and maintenance, data analysis, budgeting, and accounting support.
- Prepare reports, including monthly reporting, Board of Directors materials, presentations, and routine correspondence with exceptional attention to detail, accuracy and confidentiality.
- Handle special projects as assigned and keep leadership properly informed of status, obstacles, and points of interest.
- Bachelor s degree preferred – no specific field of study requirements.
- Minimum 5 years of professional experience in an office-related setting.
- Prior experience with a professional services firm, preferably in engineering or construction.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook; advanced Excel skills.
- Experience with business writing, data entry, tracking tools, expense management systems, and travel systems preferred.
- Energetic professional who can wear multiple hats, capable of handling a wide range of administrative and executive support tasks, and able to work independently with little supervision.
- Strong organization, flexibility, and ability to manage administrative challenges in a diverse office environment.
- Ability to maintain high standards under tight deadlines; attention to quality and confidentiality; able to inspect materials for flaws and uphold excellence as a priority.
- Ability to handle confidential and time-sensitive information with discretion and independent judgment.
- Self-motivated and proactive with initiative, capable of carrying projects to completion with minimal direction and a sense of urgency.
- Ability to produce high-quality work on multiple assignments in a deadline-driven environment, with strong project management skills and willingness to seek clarification when needed.
- Positive attitude and flexibility in an environment with tight deadlines, interruptions, changes, and unexpected events.
- Superior interpersonal skills, telephone manner, and knowledge of business protocol; strong customer service orientation.
- Able to develop and maintain cooperative, enthusiastic, flexible, and effective working relationships with clients, employees, and the Board of Directors.
$85,000 - $95,000
The expected salary range for the position is displayed in accordance with state law. Final compensation is based on individual qualifications and experience.
