The Executive Assistant position provides critical, high-level administrative support to the Administrative Manager in direct service to the Director, two Deputy Directors, and the Executive Leadership Team (ELT). This position serves as a strategic partner of the Director’s Office, ensuring seamless day-to-day operations and coordination in a fast-paced state agency environment.
The position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures. The State of Arizona supports a work culture that affords employees flexibility, autonomy, and trust. Remote work opportunities exist across the State’s agencies, boards, and commissions, but all work should be performed within Arizona unless an exception is authorized in advance.
Responsibilities- Executive Support:
Provides dedicated administrative assistance to the Administrative Manager, the Director’s Office and ELT. - Meeting Management:
Prepares logistics for decision meetings, including scheduling presenters and synthesizing meeting materials for executive review. - Strategic Calendar & Travel:
Manages executive calendars; coordinates travel arrangements, conference registrations, and transportation, ensuring payroll and reimbursement claims meet deadlines. - Office Operations:
Oversees Director’s Office logistics, including conference room preparation, managing hybrid meeting technology, and greeting external guests. - Project Management:
Drives internal initiatives such as Spotlight Awards, agency cadence calendar, program review schedules, and skip-level meetings; partners with Human Potential Office (HPO) to schedule career pathing sessions. - Communications & Coordination:
Acts as a key liaison between Director’s Office and staff to develop and follow standard work for inter-divisional alignment.
Knowledge of:
- State government operations and ADEQ’s organizational structure.
- Principles of public administration and working with executive leadership.
- Data gathering methods, report preparation, and research techniques.
- Confidentiality standards and safeguarding public information.
- Proficiency in Microsoft Office and Google Workspace.

Statistical analysis, fact-gathering, and problem-solving. - Interpersonal:

- Maintain positive working relationships across multiple agency divisions.
- Adapt quickly to changing priorities and assignments.
- Bachelor's degree in Business Administration, Public Administration, or related field
- 3-5 years of experience in executive and administrative support
