Position Summary

The Graduate and Online Department at Southern Utah University is seeking a highly organized and detail-oriented Administrative Assistant to support day-to-day operations and financial administration as well as assist the AVP with project management. This role is crucial in ensuring the smooth and efficient functioning of departmental activities, including budget tracking, travel coordination, purchasing reconciliation, project management, support for the AVP, and general office management.

The ideal candidate is proactive, dependable, trustworthy, has excellent communication skills, and capable of managing multiple priorities in a dynamic work environment.

Essential Functions
  • Budget management:
    Utilize Banner and other university resources to track, monitor and update departmental budgets regularly; generate and maintain budget sheets and assist with forecasting, ensure accuracy and compliance with institutional financial guidelines in coordination with payroll, accounts payable/receivable and human resources.
  • Purchasing Card Reconciliation:
    Reconcile monthly purchasing card (P-card) transactions for all P-card holders within the department and submit completed statements monthly to the university auditing department; transfer all purchasing transactions weekly into the appropriate accounts; maintain accurate records and documentation for auditing purposes; resolve discrepancies and communicate with vendors as needed.
  • Office Procurement and Inventory:
    Handle ordering of office supplies and equipment; process requisitions and purchase orders for vendors as needed by various departmental entities; track inventory and maintain organized records of orders and deliveries.
  • Travel Coordination:
    Process and manage all departmental travel requests, including travel authorizations and reimbursements; coordinate travel arrangements such as flights, lodging and transportation; ensure adherence to university travel policies and procedures.
  • Meeting support:
    Take clear and comprehensive notes during departmental meetings; assist with scheduling and preparing materials for meetings; coordinate appointments and keep calendar for AVP of Graduate and Online programs.
  • General Office Administration:
    Serve as first point of contact for departmental inquiries; manage calendars, schedule appointments, and provide logistical support for events; coordinate and manage specific seasonal projects; maintain organized digital and physical filing systems.
  • Track budgets associated with hourly employees; process necessary paperwork for student employees within the department; assist with department training of new employees and implementing new policies and procedures both within the office and campus-wide.
  • Provides Project Management support for the AVP Grad and Online programs. Carries out tasks and responsibilities related to strategic projects and programs as directed by the AVP of Grad and Online Programs
  • Other duties as assigned.
Education & Experience

Minimum Qualifications

  • Associate's degree (60 college credit hours) required, but a combination of experience and college coursework will be considered.
  • Demonstrated ability to work remotely.
  • Excellent organizational and communication skills.
  • Ability to multitask and manage projects.
  • Ability to manage spreadsheets and budgets.

Preferred Qualifications

  • Bachelor's degree.
  • 3 years of related professional experience preferred.

Position is contingent on funding.
